What is preventive maintenance software, and when does a Bhiwadi plant need it?
Preventive maintenance software keeps a register of every machine, schedules planned checks before parts fail, records each breakdown and shows which spares were used. The trade name is CMMS, short for computerised maintenance management system. A Bhiwadi unit needs one once the history card hanging on the machine, the Excel file in the maintenance room and the in-charge's memory begin to disagree.
Machine count alone is rarely the trigger. Watch for these signs instead: a customer audit asks for PM records and someone spends two days rebuilding them; the same hydraulic pump fails every quarter and nobody can prove the pattern; a night-shift stoppage reaches the manager only through a phone call next morning; the store says a spare was issued while the machine still runs on the old part. Any two of these mean paper has stopped coping.
A workshop with ten machines and one fitter may manage with a tidy spreadsheet, and we will tell you so. Plants in the RIICO phases, Chopanki or Khushkhera running two or three shifts across presses, CNCs, moulding machines, compressors and DG sets gain the most. If you are torn between a full system and something lighter, our Excel-to-software page for Bhiwadi describes the smaller route, and if maintenance is one piece of a bigger system, see the manufacturing ERP page.
Why machine uptime weighs so heavily in Bhiwadi's industrial belt
Bhiwadi lives on machines, and most of them feed somebody else's assembly line. The Bhiwadi Integrated Development Authority describes the township as roughly 14 industrial clusters holding around 5,000 units, spread over RIICO estates that now run from the original Bhiwadi phases out to Chopanki, Khushkhera, Kaharani, Pathredi and Tapukara.
That mix shapes maintenance. Industry directories place auto components, machining, steel, electrical and electronic goods, plastics, packaging, FMCG and pharma units here, and many of them supply vehicle makers or big brands on narrow delivery windows. Honda's own sites date its Tapukara car plant to 2008 and its two-wheeler plant there to 2011, and the supplier base around plants like these is judged on delivery and quality. An unplanned stop on a press line in Tapukara costs more than a shift; it can cost a schedule and a rating.
Distance adds pressure. BIDA's figures put Gurugram about 40 km away along NH-48 and New Delhi roughly 60 km, so a specialist technician or a spare from a distributor outside the belt can take most of a day to arrive. Knowing what is due, what keeps failing and what sits on the shelf before a breakdown is plainly cheaper here than learning it afterwards.
Our one-to-one meeting at your plant in Bhiwadi: what we look at
Yes, we meet you face to face in Bhiwadi, in your maintenance room, on the shop floor or wherever you prefer, and for maintenance software that visit does most of the scoping. Send a date and place on WhatsApp or by phone and we fix a time that suits both sides.
- The machines themselves: we photograph nameplates, note makes and models, and check where a QR sticker will survive oil, coolant and heat.
- Your current PM plan, whether it is a printed calendar, history cards on the machines or an Excel file.
- The breakdown slip or register the night shift fills, and how it reaches the maintenance in-charge.
- The spares cupboard, its bin labels and how issue slips are written.
- Which phones technicians carry, and whether the maintenance room has a PC or a spare wall screen.
Who should attend: the maintenance head, one senior technician from the busiest shift, the stores keeper and, for twenty minutes, whoever approves the budget. Keep ready any machine list, last year's breakdown register and one PM checklist per machine type. Afterwards you receive a written scope, a list of open questions and an itemised quote in about two working days. We can meet in person again for scope sign-off, the staging review and shift-wise training, and between visits the work runs on WhatsApp, calls and email.
How much does preventive maintenance software cost in Bhiwadi?
A custom preventive maintenance software build in Bhiwadi starts at ₹60,000 (about US$900) for the core: machine register, PM scheduler, breakdown log, a basic spares link and standard reports. What moves a quote above that floor is almost always scope rather than technology.
- Trigger types: calendar-only PM is simplest; running hours, stroke counts or moulding shots need a way to capture readings.
- Checklists: ten generic ones cost less than two hundred machine-specific ones with photos and tolerance fields.
- Spares depth: a simple issue log versus full stock levels, reorder points and supplier links.
- A separate Android app for technicians (from ₹40,000) versus a phone-friendly web app.
- Integrations with Tally, an existing ERP, or machine data where the controller already exposes it.
- Data migration: typing in five years of history cards is real work and is priced as such.
Cloud hosting, SMS or WhatsApp message charges and phones are running costs you pay directly. After two free months, maintenance continues from ₹8,000/mo only if you want it. The pricing page lists every starting price, and the cost table below splits typical scopes.
PM schedules, breakdown logs, spares and QR codes: how do they fit together?
They form one loop. The schedule raises a job, the technician scans the machine's QR code to open it, records what was done and which spares went in, and every breakdown feeds back into how often that machine should be checked.
PM schedules
Each machine type gets checklists with a trigger: every 7 days, every 500 running hours, every 50,000 strokes or before each shift. The job appears on the technician's phone on time and escalates to the in-charge if skipped. Shutdown-day work can be grouped so a single Sunday stoppage covers everything falling due.
Breakdown logs
An operator or supervisor reports the stoppage at the machine with a photo and a reason picked from a short list. Stop time, repair start, restart, cause and action are captured, so mean time to repair and time between failures come from data instead of a guess.
Spares
Job cards pull items from the maintenance store with quantities. You see which machine eats which bearing, seal or belt, and a reorder alert reaches stores before the shelf is empty.
QR codes
A laminated QR sticker per machine opens its page in any phone camera. No special scanner is needed, and the page links to history, manuals and the open job.
Process and timeline for preventive maintenance software in Bhiwadi
Plan on 6 to 12 weeks from the first meeting to a system technicians use every shift. The larger range covers plants with many machine types, a separate app or a lot of history to load.
- Week 1: face-to-face meeting at your plant in Bhiwadi, machine list, sample checklists, written scope and quote.
- Weeks 2–3: machine register and checklist builder on a staging link; you load a handful of machines to test.
- Weeks 3–6: PM scheduler and breakdown log, with QR stickers printed for one pilot line.
- Weeks 6–9: spares link, reports, Hindi labels checked by your supervisors, WhatsApp alerts.
- Weeks 9–12: history migration, training for each shift and go-live across the plant.
The usual delays are missing machine data and checklists nobody has written down. Pilot one bay first, fix whatever the night shift finds awkward, then roll out. If work orders and shift output belong in the same system, our production planning software page covers where the two overlap.
How do I choose a developer for preventive maintenance software in Bhiwadi?
Choose on how well they understand a maintenance day, not on the length of a feature list. A capable developer asks about shifts, PM frequencies and spares before showing you a single screen.
- Ask how a stroke-based PM on a power press would be triggered. A vague reply means readings have not been thought through.
- Ask what happens when the plant internet drops. You want to hear about offline entry or a fallback, not a promise that it never drops.
- Ask who owns the database and cloud account. It should be you, from the first day.
- Ask for the quote split by module, so you could remove spares or the app and still have a working core.
- Ask whether they will walk the shop floor. Software for machines the builder has never seen tends to miss things.
Custom versus packaged is the other choice. A packaged CMMS starts faster and handles standard routines well; a custom build fits a plant whose PM logic, checklists or customer reporting are its own. Our off-the-shelf versus custom software comparison sets out the trade-offs in general terms, and the custom software page for Bhiwadi explains how discovery works.
Which technology should maintenance software run on?
For most Bhiwadi plants a web application with a phone-friendly layout, hosted on a cloud server in your name, is the right base. A separate Android app earns its cost only when technicians need solid offline work or camera-heavy flows.
We usually build with a mainstream JavaScript or Python back end, a PostgreSQL or MySQL database and a progressive web app front end that installs on a phone like an app. Offline entry can queue readings and breakdown reports when the Wi-Fi in a far bay drops, then sync them later. Where it pays, a Flutter app adds sturdier offline storage and camera handling; the web application page for Bhiwadi covers the architecture side.
Machine data is the honest limit. We do not sell or install sensors, PLCs, SCADA or networking. If your machines or an existing monitoring system already expose running hours or counts through a file, database or API, we read them to trigger PM automatically. If not, supervisors enter counter readings on the phone once a shift, which works well for most units.

Gauge calibration and annual contracts for compressors or DG sets can live in the same system; our AMC management software page explains that side in more detail.
Who owns the maintenance software and its data after handover?
You do. The code repository, database, cloud hosting account and any domain are opened in your name or your group's name before the first line of code, and we work inside them as invited users.
At handover you receive admin logins, the repository, a short deployment note for any future developer, and a plain-language guide for the maintenance in-charge on adding machines, editing checklists and pulling reports. Backups land in storage you control, and the whole machine history exports to Excel whenever you want it, so it never becomes hostage to one supplier. If your own IT person or another developer takes over later, nothing blocks them.
The first two months after go-live include free maintenance: fixes, small changes and updates. After that, support continues from ₹8,000/mo only if you choose it. Larger additions, such as a second plant or a vendor module, are quoted separately so you see the cost before approving anything. Terms sit in your written quote and on our terms page.
What goes wrong with maintenance software projects, and which red flags to watch?
Most failed maintenance systems fail on adoption, not code. Technicians stop logging because the screen is slow, English-only or asks for twelve fields at two in the morning.
- A demo that shines on a laptop but has never been tried on a technician's phone with oily hands.
- Every PM set to “monthly” because the system cannot handle hours or strokes.
- No way to report a breakdown without typing a username and password on the floor.
- Data held on the seller's server with no export button.
- A single lump-sum quote with no module split.
- Talk of AI-driven predictive maintenance when the plant has no sensor data yet.
The cure is dull and effective: pilot one line, keep forms short, give the in-charge a daily list they actually open, and review what the night shift skipped each week. Practical AI for factories, such as reading years of free-text breakdown notes, is covered honestly on our AI for manufacturing page.
Is maintenance data safe, and who can see or change what?
It is safe when access is tight, backups run automatically and the server belongs to you. Maintenance records look harmless, yet they reveal capacity, downtime and weak machines, which a customer or a rival would like to know.
Each user gets a personal login with a role. Operators can raise a breakdown but not close it, technicians close their own jobs, the in-charge edits schedules, and management sees reports. Edits to a checklist or a closed job are logged with who and when, which also helps during an audit. Passwords are stored hashed, traffic runs over HTTPS, and a leaver is switched off in one click.
Daily automatic backups go to separate storage in your account, and we test a restore before go-live. If you prefer the system on a server inside the plant, we can deploy there, but power, internet and backups then become your IT team's job, and the quote says so plainly. Our cloud hosting setup page compares the two options.
Hindi screens, budget phones and WhatsApp alerts for technicians in Bhiwadi
Build for the person holding the spanner. Bhiwadi's shop floors draw workers from many states and Hindi is the common language, so checklists, reason codes and buttons appear in Hindi with icons, while reports for management and customers stay in English.
Screens are tested on the low-cost Android phones technicians actually carry: large buttons, few fields, and photo capture that copes with poor light. The target is a PM job closed in a few taps; our Android app page for Bhiwadi covers phone testing in more depth.
WhatsApp is where the plant already talks, so alerts go there: a morning list of PMs due, a breakdown message to the in-charge, an overdue warning to the plant head. Automated messages run through Meta's WhatsApp Business Platform using approved templates, and message charges are billed to your own account; our WhatsApp Business API page for Bhiwadi explains the setup.
UPI rarely appears inside a maintenance system, but it does appear in how you pay us: in INR by UPI or bank transfer, in stages tied to delivered modules.
A worked example: preventive maintenance software for a 60-worker press shop in Chopanki
This is a hypothetical scenario to show scoping logic, not a client story.
Say a 60-worker sheet-metal unit in Chopanki runs 18 power presses, 4 spot-welding machines, 2 compressors and a DG set across two shifts. PM today is a wall calendar plus history cards; breakdowns go into a register the supervisor fills at shift end. A car-parts customer has asked to see PM records at the next audit.
At the meeting in Chopanki we would photograph each machine, collect the existing checklists and sit with the stores keeper. A sensible first version: machine register, stroke-count and calendar PM using counter readings entered by supervisors, QR breakdown reporting with downtime, spares issue for the ten parts that fail most, Hindi screens, a WhatsApp morning list and a monthly PDF for the customer. That scope would sit near the lower end of custom work starting at ₹60,000, roughly 8 to 10 weeks, with the separate technician app left for later. The written quote would confirm the real figure.
What we would advise against: automatic stroke counting on day one, since the presses would need hardware we do not supply, or loading ten years of history. Six months of recent breakdowns is enough to begin. Scenarios for other services are gathered on our Bhiwadi hub.
Preventive maintenance software for plants beyond Bhiwadi, from Tapukara to Rewari
The same one-to-one approach works along the whole belt. Khairthal-Tijara district, separated from Alwar district in August 2023, now holds Bhiwadi, Tapukara and Tijara, though plenty of plant addresses and old records still read “District Alwar”.
Units in Tapukara and Kaharani are often auto-linked and run the tightest PM calendars. Neemrana, in Kotputli-Behror district with RIICO's Japanese Zone, has plants used to formal maintenance systems. Dharuhera sits just over the Haryana border, and the Rewari side has its own engineering units; our Rewari page and Alwar page describe wider software needs in those markets, and the Rajasthan overview lists the rest.
We can meet in person anywhere across this stretch, then run the build over WhatsApp, calls and screen shares. Multi-plant groups get one system with a plant filter, so a head office in Gurugram sees PM compliance for every site on one screen.
