How does a fleet availability calendar work on a car rental website?
A fleet calendar tracks every vehicle, or every car class, against every date, and blocks cars for bookings, maintenance and transfers between branches. The website reads from it, so customers can only book what is truly available.
The first design decision is class versus plate. Most rental firms sell by class, such as economy, sedan, SUV or luxury, and assign the specific car at pickup. That keeps flexibility when a vehicle comes back late or needs a repair. Some firms, especially those renting premium or specialist cars, sell specific models and need plate-level booking. Licence and ID upload: how should a booking site collect documents?
Ask for the driving licence and ID at the end of booking, show why you need them, store them encrypted, and let staff verify the originals at pickup. Collecting documents early is the biggest single saver of counter time.
The upload screen accepts phone photos of the front and back of each document, checks that the image is readable, and warns the customer if it is blurred or cut off. Staff see the images in the booking before arrival and can message the customer if something is missing. At the counter, they compare originals with the uploaded copies and mark the check complete.

Airport and inter-city pickup: what should the booking flow offer?
Let customers choose a branch, an airport counter or a delivery address during booking, and show delivery and one-way fees before payment. Airport and inter-city options are where Saudi rental customers most often end up calling, because most websites leave them out.
Airport renters want to know where to find you, what happens if the flight is late, and whether a representative meets them. The booking form can collect the flight number and arrival time, and the confirmation message can include meeting instructions in Arabic and English. For firms with counters at airports such as King Khalid International in Riyadh, King Abdulaziz International in Jeddah or King Fahd International in Dammam, each counter becomes its own branch in the calendar with its own opening hours.
Inter-city and one-way hires need different logic. A customer collecting in Jeddah and returning in Madinah creates a car that must come back or be re-rented from Madinah. You set which routes allow one-way returns and what fee applies; the calendar blocks the car accordingly. Delivery to a hotel or home address uses zones or distance bands you define, and the national address short code can be collected to help your drivers find the address.

How does a car rental website connect to the Tajeer contract workflow?
The website takes the booking; the rental contract is still created through Tajeer at handover. What the system can do is prepare everything staff need so the Tajeer step takes minutes, then store the Tajeer contract number against the booking.
Tajeer is the unified electronic car rental contract issued through the Tajeer portal of the Transport General Authority (TGA). The TGA describes signing as electronic, verified with a code, and notes that vehicle data saved in the portal does not need re-entering for each new contract. An online booking is not a substitute for that contract, and we never present it as one.

How much can a car rental website reduce phone bookings?
It removes the calls that exist only because information is missing: availability, price, deposit, documents and pickup instructions. We cannot promise a percentage, because it depends on your customers and how visible the site is, but you can measure it from week one.
