What are Power BI consulting services?
Power BI consulting services are paid help to plan, build, fix or teach Microsoft Power BI inside your organisation. For a small business that usually means licensing advice, connecting data, designing the semantic model, writing DAX measures, building report pages, setting up security and training the people who will own it.
The word “consulting” hides a wide range. At one end sits a two-hour screen share to fix a broken measure. At the other sits a months-long programme across finance, sales and operations in a company with a data team. For US businesses of 10 to 250 people, the useful middle is a defined project: one model that answers the recurring questions of one or two departments, built properly, with a named internal owner at the end.
That last part is the one people skip. Power BI makes it easy to produce a report and hard to keep a model healthy. Good Power BI consulting services leave behind fewer, better-named tables, measures stored in one place, refresh that runs without anyone touching it, and a person on your team who understands why it was built that way. If you still need the consultant for every new chart six months later, the engagement did not finish its job.
Do you need a Power BI consultant, or can your team learn it?
Your team can learn Power BI report building; the part worth paying for is the data model, the first set of DAX measures and the licence and security plan. Those decisions are hard to change later and are where self-taught setups most often go wrong.
A common US small-business pattern goes like this. A capable controller or operations manager downloads Power BI Desktop, imports a few Excel exports, builds a report that impresses the owner, and shares it. Six months later there are eleven reports, each with its own copy of the data, slightly different revenue formulas, and a refresh that only works when that person's laptop is on. Nobody did anything wrong; they simply never had time to design the foundation.
So a sensible split is: hire Power BI consulting services for the foundation, then let your people build on it. We design the model, write the core measures, set up workspaces and security, then spend the training sessions teaching your staff to add pages and simple measures themselves. Microsoft's free learning paths and the community forum cover the rest. If you have nobody who wants to own reporting at all, that is worth knowing too; a monthly care arrangement or a simpler tool may fit better.

Power BI Pro vs Premium Per User: which licence does a US small business need?
Most US small businesses need Power BI Pro for everyone who creates or views shared reports. Premium Per User is worth it when you need features Pro lacks, such as more frequent scheduled refresh or larger models, for a modest number of people. Fabric capacity makes sense when many staff only view.
Microsoft's Power BI licensing guide states that Power BI Pro is included in Microsoft 365 E5, so check your subscriptions before buying anything. Otherwise Pro and PPU are bought per user, monthly or yearly, in the Microsoft 365 admin center, and you must be in the Billing admin role to purchase. A free 30-day Pro trial covers up to 25 licences, and Microsoft notes that you are charged for them when the trial ends unless you cancel. Prices are listed in USD on Microsoft's own pricing page and change from time to time, so we quote your licence budget from that page on the day you decide, never from memory.
The practical differences for a small business are few but important. Microsoft's Fabric licensing overview says PPU workspaces offer 48 data refreshes a day, support for semantic models that use more than 1 GB of memory, and the XMLA endpoint; Pro workspaces sit on shared capacity with eight scheduled refreshes a day. The same page says PPU is more cost effective than Premium capacity when fewer than 250 users need Premium features. One catch: content in a PPU workspace can only be opened by people who also hold PPU, so mixing licence types needs a plan.
Who needs a Power BI licence to view reports?
Anyone who views Power BI content shared from a Pro workspace, or from Fabric capacity smaller than F64, needs a Pro or PPU licence. Free-licence users can view content only when it sits on F64 or larger capacity and they have the Viewer role.
This rule surprises owners more than any other. Building a report is free in Power BI Desktop, so it feels as if sharing should be too. It is not. According to Microsoft's licensing overview, on F SKUs below F64 each person viewing Power BI content needs Pro, PPU or an individual trial; on F64 or larger, users with only a free licence and a viewer role can view. For a 30-person company, that usually means Pro for everyone who opens reports, because F64 capacity is sized for much larger organisations.
External viewers follow similar rules. Microsoft's licensing guide says the person sharing outside the organisation needs Pro or PPU, and the external guest needs Pro or PPU (their own or assigned by you) unless the content sits on F64 or larger capacity. So if your outside accountant, franchisees or clients need to see reports, budget their licences or look at an alternative such as a custom web portal.

Data modelling: why a star schema beats one giant Excel table
A Power BI model works best as a star schema: narrow fact tables holding events such as invoices, orders or payments, surrounded by dimension tables such as customers, products, dates and locations. One wide spreadsheet imported as-is makes measures slower, files bigger and totals easier to get wrong.
Most US small businesses arrive with data shaped for humans, not for models: a monthly sales workbook with a tab per month, merged header cells, product names typed slightly differently by different people, and totals rows in the middle. Power Query can reshape all of that, but only if someone decides the target shape first. That design step is the heart of Power BI consulting services, and it is why we ask for sample files before quoting.
A clean model has one date table marked as such, relationships that run one way from dimension to fact, surrogate keys where source systems disagree, and no calculated columns doing work that belongs in Power Query or the source. It also has fewer columns than you expect; every unused column costs memory and refresh time. When we hand over, you get a one-page diagram of the model so the next person can see the shape at a glance.

DAX measures a Power BI consultant should write for you
The first DAX measures worth writing are the ones every page will reuse: base totals, year-over-year and year-to-date variants on your fiscal calendar, margin and ratio measures, and budget-versus-actual. Build those once, name them plainly and hide the raw columns so report builders use the measures.
US businesses do not all run a January-to-December year. Many close in June or September, and some retailers use a 4-4-5 week calendar. Getting fiscal time right is a date-table decision, not a measure trick, so we build the date table to your calendar before writing any time intelligence. Then measures such as fiscal year-to-date, same period last fiscal year and rolling twelve months behave the same everywhere.
We write DAX in a style your staff can read later: variables with meaningful names, one idea per measure, and a short description on each. Measures live in a dedicated display folder by subject (Sales, Finance, Operations) rather than scattered across tables. Calculated columns are kept to a minimum, since they add memory and often belong upstream in Power Query.
The measure library is also where Power BI consulting services protect you from drift. When “Net Revenue” exists once, every visual that uses it agrees. When three people write their own version, the Monday meeting becomes a debate about formulas.
Connecting QuickBooks Online to Power BI
The dependable way to get QuickBooks Online into Power BI is to copy the data you need into a small database on a schedule, then point Power BI at that database. Manual exports work for a pilot; they break the first month nobody remembers to run them.
QuickBooks is the accounting system for a large share of US small businesses, so this question comes up in almost every Power BI consulting services enquiry we get. We avoid promising a one-click connection. Instead we use an app connection your QuickBooks admin authorises, pull invoices, payments, bills, customers, items, accounts and classes on a nightly schedule into a database in your own Azure or AWS account, and model from there. That route survives API changes better, keeps history even when records are edited, and lets Power BI refresh without a gateway because the database is already in the cloud.
Finance teams also care about reconciliation. Before building any page, we agree with your bookkeeper or CPA which QuickBooks reports the model must match for a closed month, usually profit and loss and AR aging, and add a small check page showing the difference. If journal entries arrive after close, the check page shows it instead of letting the dashboard quietly disagree with the books.
Excel and SharePoint: the most common source in US small-business Power BI
Excel remains the most common Power BI source in small businesses, and it works well when files live in SharePoint or OneDrive for Business, keep a fixed structure and use proper tables. Problems start when files move, columns get renamed or someone saves a copy with a new name each month.
A good Power BI consulting services engagement tames Excel rather than banning it. We ask each file owner to keep data in formatted Excel tables with consistent headers, move the files to one SharePoint library, and replace “Sales Jan.xlsx, Sales Feb.xlsx” patterns with a single folder that Power Query combines automatically. Budget and forecast workbooks, which finance teams rightly keep in Excel, become their own fact tables linked to the same date and account dimensions as actuals.
We also write down the rules for each file in plain language: who edits it, which columns must never be renamed, and where the file must stay. It sounds bureaucratic, but a two-line note in the handover pack prevents most of the refresh failures we get called to fix.

SQL Server and other on-premises data: setting up the gateway
If your data sits in a SQL Server, an ERP database or files on a local server, Power BI in the cloud reaches it through the on-premises data gateway, a Windows application installed on a machine in your network. That machine must be running for scheduled refreshes to succeed.
Microsoft's on-premises data gateway overview describes it as a locally installed Windows client that acts as a bridge to Microsoft cloud services, needing only outbound connections and no inbound ports. It comes in two types. The standard gateway lets multiple users connect to multiple on-premises sources and works with Power BI and other Microsoft services. Personal mode allows one user, cannot be shared and works only with Power BI. For a business, the standard gateway is almost always the right choice, because personal mode ties refresh to one person's account.
We install and register the gateway on a server or always-on machine you choose, add at least two of your staff as gateway admins, and document the credentials each data source uses. Microsoft also notes that it actively supports only the last six gateway releases and ships updates monthly, so keeping it current belongs on someone's monthly checklist. Sometimes the better answer is to move the database to the cloud; our AWS small-business consulting covers that route.
Power BI on a Mac: what US teams on macOS actually do
Power BI Desktop, the free authoring tool, runs on Windows only; Microsoft lists Windows 10 or later as the minimum requirement. Mac users can view and lightly edit reports in the browser, but model building needs Windows, either a Windows PC, a cloud PC or a supported virtual desktop.
Plenty of US offices, especially creative, marketing and professional-services firms, run on Macs. That does not rule out Power BI. Viewers use the Power BI service in a browser or the mobile apps with no issue. The person who maintains the model needs Power BI Desktop, and Microsoft's download page states it is fully supported on Azure Virtual Desktop and Windows 365, while other virtualised setups such as published Citrix applications are not supported.
When we deliver Power BI consulting services to a Mac-based team, we plan for this up front: one Windows 365 cloud PC or a spare Windows laptop for the model owner, everyone else in the browser. If nobody on your side wants to touch Windows at all, that is a strong signal to consider Looker Studio or a custom web dashboard instead.
How much do Power BI consulting services cost?

Across the US market, quotes for Power BI work vary widely, and the difference usually comes from scope and staffing rather than from the software. Hourly billing, day rates and project quotes all exist. When you compare, ask each provider to state the sources, the number of report pages, the security roles, whether gateway setup is included, how many training sessions you get and what documentation you will receive. Two quotes that look far apart often describe very different deliverables.
Also count your own running costs: Pro or PPU licences for each viewer, any Fabric capacity, a cloud database if QuickBooks data lands there, and the staff time to own the model. A cheaper build that forces PPU licences on 40 people may cost more over a year than a slightly larger build designed around Pro. Our pricing page lists every starting price we use.
Fixing a slow or wrong Power BI report
Slow or inconsistent Power BI reports usually come from the model, not the visuals: too many columns, bi-directional relationships everywhere, calculated columns doing heavy work, several copies of the same data, or DAX that iterates over huge tables. A rescue starts by measuring, then fixes the few causes that matter most.
A typical rescue in our Power BI consulting services begins with Performance Analyzer in Power BI Desktop to see which visuals are slow and why, then a look at the model size by table and column. Quick wins are common: removing unused columns, replacing text keys with integers, turning off auto date/time, and switching bi-directional filters back to single direction where they are not needed.
Wrong numbers get a different treatment. We pick one figure that people dispute, trace it from the visual back through the measure, the relationships and Power Query to the source, and write down each step. Usually the cause is a duplicate row, a missing relationship or two measures with the same name in different tables. We fix it once in the model and delete the duplicates, so the dispute cannot come back through a different report.

Workspaces, apps and row-level security for a small company
Keep security simple: one workspace per subject area for builders, a Power BI app to publish finished reports to viewers, and row-level security only where people must see different rows. Microsoft notes that row-level security restricts only workspace Viewers, so anyone given Admin, Member or Contributor sees all data.
We usually set up a development workspace where report builders work, and a production workspace from which an app is published to the wider team. Viewers never get Member rights just because it was quicker to share that way. Security groups from Microsoft Entra ID, which you already use for Microsoft 365, hold the membership, so onboarding and offboarding happen in one place.
Row-level security is defined in Power BI Desktop with DAX filters and assigned in the service. A branch manager in Tampa sees Tampa; the regional director sees the Southeast; the CFO sees everything. Dynamic security driven by a user-mapping table keeps it to a handful of roles even as people change. We test each role with the Test as role feature and then with a real sign-in, because Microsoft's documentation points out that Test as role cannot reproduce every case, such as external guest users.
Report handover and team training: what good Power BI consulting services leave behind
A proper handover leaves you with a documented model, a measure library with descriptions, a refresh and gateway runbook, a licence register and recorded training on your own data. The goal is that a new analyst can make a safe change in their first week without calling us.
Training is where we spend more time than most clients expect. We run three short sessions over Teams in your morning. The first, for report editors, covers adding a page, using existing measures and publishing through the app. The second, for viewers, covers filters, drill-through, exporting and subscribing to email snapshots. The third, for whoever manages Microsoft 365, covers assigning licences, workspace roles, gateway admins and what to check when a refresh fails. Each session is recorded and stored in your SharePoint.
Documentation lives next to the model: a diagram, a measure list exported from the model, a data-source register with owners, and a one-page “how to fix a failed refresh” note. After handover, fixes are free for two months. After that, a care plan from US$120/mo is optional; many small businesses find they need us only when they add a new source.
Power BI consulting services from India for US clients: how the work runs
You work with us over Microsoft Teams or Zoom in your morning, which is our evening, and on WhatsApp between calls. We quote and invoice in USD, paid by wire, Wise or PayPal. You add us as guest users in your Microsoft 365 tenant with only the workspace roles the project needs.
India runs nine and a half hours ahead of US Eastern time during daylight saving and ten and a half in winter. A 9 a.m. Eastern call is early evening for us; Central and Mountain teams often prefer 8 a.m. local, and Pacific teams take a 7 a.m. slot. Because of the gap, model changes made overnight are ready for you to test when your day starts.
Guest access is the cleanest arrangement: your admin invites our named accounts through Microsoft Entra B2B, grants Contributor on the development workspace only, and removes us when the work ends. We never need a global admin password. If a QuickBooks or SQL connection needs credentials, your staff enter them in the gateway or the cloud database, not in a chat.

Worked example: a hypothetical HVAC parts distributor in Columbus, Ohio
Say a 45-person HVAC parts distributor in Columbus runs Microsoft 365 Business Premium, keeps accounts in QuickBooks Online, holds inventory in a SQL Server database on a server in the warehouse, and tracks branch budgets in Excel. This is a hypothetical scenario for illustration.
The owner wants branch managers in Columbus, Dayton and Cincinnati to see sales, margin and stock turns for their own branch, and the CFO to see everything with budget variance on a July-to-June fiscal year. Today the controller builds a PDF pack each month from four exports.
The plan: QuickBooks data lands nightly in a small Azure SQL database the distributor owns; a standard gateway on the warehouse server reaches the inventory database; budget workbooks move into one SharePoint library. The model has invoice-line, stock-movement and budget facts sharing product, branch, customer and fiscal-date dimensions. Row-level security gives each branch manager their branch. Everyone who opens the app gets Pro, because 18 viewers do not justify capacity and none of them need PPU features. The build falls under our US$600 line.
After three recorded training sessions, the controller adds a freight-cost page on her own in month two. That is what Power BI consulting services should produce: a team that no longer needs to ask.
