What is DMS in the automobile business?
DMS stands for dealer management system: the software a vehicle dealership uses to run sales, service, parts and accounts from one database. Automobile dealer management software is the same idea described in plain words, and in India it has to handle local realities such as registration paperwork, finance approvals and WhatsApp-first customers.
A dealership is really three businesses sharing a building. The showroom sells vehicles on thin margins. The workshop earns steady income from services and repairs. The parts counter sells to walk-in mechanics and supplies the workshop. A DMS stitches them together so a customer who bought a scooter in March appears in the workshop in June, and the parts used on that job reduce stock at the counter automatically.
Most dealers do not need a big-name DMS to get that benefit. What they need is one customer and vehicle record that every department uses, and screens that match how their staff actually work.

My manufacturer already gives us a DMS. Why would I need more software?
Because a manufacturer's DMS is built for the manufacturer's reporting, and dealers run a lot of business it does not see: local lead follow-up, sub-dealer outlets, pre-owned vehicles, accessories bundles, finance negotiations and owner-level views across brands.
Many authorised dealers are required by their dealer agreement to bill vehicles and raise warranty claims in a system the manufacturer specifies. That is fine; we do not ask you to replace it. Enquiry and booking management in automobile dealer management software
The enquiry desk should capture every walk-in, call and online lead with the model of interest, budget, exchange vehicle and a next follow-up date, then remind the salesperson until the lead is won or closed. Leads that nobody follows up are the quietest loss in most showrooms.
For each enquiry, salespeople log the test ride, quotation sent, finance interest and objections. Quotations go out on WhatsApp as a neat PDF with on-road price components shown the way your dealership presents them. When the customer books, the booking amount is recorded with its receipt, a variant and colour are allocated from stock or ordered, and the enquiry becomes a booking without retyping anything.

RTO and insurance paperwork: how dealer software keeps files moving
Every new vehicle leaves behind a trail of forms, and a missing one means an angry customer weeks later. Good automobile dealer management software tracks each vehicle's registration file, insurance policy and document handover as a status list the delivery counter and the customer can both follow.
Registration paperwork follows the Central Motor Vehicles Rules: Form 20 is the application for registration, Form 21 the sale certificate issued by the dealer or manufacturer, and Form 22 the manufacturer's initial roadworthiness certificate. Under dealer point registration, which state transport departments such as Punjab's describe on their websites, the dealer enters owner, vehicle and insurance details on the transport department's system, pays fees and tax online, and prints the forms for the file.
The software does not replace the government portal. It records, per chassis number, which forms are ready, when details were entered, the temporary or permanent registration number once issued, the insurance policy number and expiry, number plate status, and when the RC and papers were handed to the customer. Anything stuck beyond a number of days you choose appears on the manager's screen.

Service job cards on tablets: from complaint to gate pass
A digital job card records the customer's complaints, odometer reading, photos of existing damage, the work estimated, customer approval, technician time, parts used and final bill, and ends with a gate pass. It replaces the carbon-copy card that gets greasy, torn and impossible to search.
Service advisors fill the card at the reception bay on a tablet, capturing photos of scratches before work starts, which settles most later disputes. Estimates go to the customer on WhatsApp for approval, and extra work found mid-job goes the same way. Technicians log start and finish on each job so the service manager sees bay usage and pending vehicles at a glance.
Parts issued against the job card reduce stock at the counter automatically, and the final invoice pulls labour and parts together. When the vehicle leaves, the next service reminder is scheduled by date or kilometres, depending on the model's service schedule.

Running the spare-parts counter inside automobile dealer management software
The parts counter needs fast search by part number or description, bin locations, counter billing to walk-in mechanics, issues to the workshop against job cards, and reorder suggestions based on actual movement, not guesswork.
Counter staff search by part number, model or common name, see stock and bin, and bill in a few taps with a GST invoice. Retail mechanics who buy on credit get a ledger and a statement. Workshop issues are logged against job cards, so parts never leave the shelf without a record.
Reorder levels are calculated from the last few months of movement and adjusted for the season: batteries before winter, air-conditioner parts before summer, tractor parts before sowing. Exchange vehicles and pre-owned stock in automobile dealer management software
Exchange offers bring old vehicles onto your lot, and those vehicles need their own record: valuation, refurbishment cost, documents received, transfer of ownership and eventual resale. Treating them as a side note in a register is how margins on used stock disappear.
When a customer offers an exchange, the salesperson logs the vehicle's details, photographs and the evaluator's offer inside the enquiry. If the deal closes, the old vehicle becomes a stock item with its purchase value. Refurbishment jobs from your own workshop are costed against it, so you know the real margin when it sells. The GST e-invoice system describes the flow: registered persons upload B2B invoices to the Invoice Registration Portal, which returns an IRN with a digitally signed e-invoice and QR code.

Retail vehicle sales to individuals are B2C and follow different invoice rules. Your chartered accountant decides which invoices need what; the software applies it consistently.

Dealers hold ID copies, addresses, phone numbers, loan documents and vehicle histories, so access must be limited by role, and the data must sit in the dealer's own account. India's Digital Personal Data Protection Act, 2023 applies to this information, and its Rules were notified in November 2025 with most duties applying from May 2027.
We give salespeople access to their own leads, the delivery counter to paperwork, the workshop to vehicle history, and owners to everything. ID and loan documents are visible only to roles that need them, and each view is logged. Former staff lose access the day they leave, and phone numbers can be masked for junior roles to reduce lead theft.
