What is cold storage management software?
Cold storage management software is a system that follows each lot of stored produce from gate entry to final withdrawal, recording its owner, location inside the chambers, rent and condition. It replaces the kacchi parchi, the stock register, the rent calculations done at the counter, and the temperature sheet on the chamber door.
The unit of work in a cold storage is the lot: a batch of bags from one owner, of one commodity and variety, arriving together. Everything else hangs off it. A farmer may have three lots; a trader may have forty. Each lot sits somewhere specific, builds up rent every month, and leaves in one go or in several partial withdrawals.
Good software mirrors the way your storage already speaks. Arrival is “amad”, withdrawal is “nikasi”, the receipt is “rasid”, and the munshi knows chambers by number and floors by name. Screens and printouts use your words, in Hindi or English, so staff do not have to learn a new vocabulary.
When does a cold storage need software instead of registers?
When the register can no longer answer three questions quickly: where a lot is, how much its owner owes, and how many bags are left. If those answers take more than a minute at the counter, you are losing time every day and money at every dispute.
The pressure points arrive at predictable moments. At loading time, dozens of tractors queue at the gate and receipts are written in a hurry. Mid-season, farmers and traders withdraw in small instalments, and balances drift. At the end of the season, rent calculations across hundreds of lots and part-months take days and invite arguments.

Lot tracking assigns every incoming batch a unique lot number and records exactly where it is placed: chamber, floor, rack and position. Cold storage management software then shows that position on a map, so finding a lot on withdrawal day is a lookup rather than a search.
At the gate the clerk enters owner, village, commodity, variety, bag count, bag type and weight if you weigh. The lot number prints on the receipt and, if you like, on stickers or tags for the bags. Loaders record where the lot went, either on the phone app or on a slip entered later. If a lot is split across racks, each part is recorded with its own bag count.
The map also shows occupancy: which chambers are full, which positions are free, and how much space each owner is using. Shifting lots between chambers, which happens when a chamber is emptied for maintenance, is recorded as a move so the history stays intact.

Farmer receipts that farmers can read and trust
A farmer receipt from cold storage management software is a printed and optionally WhatsApp-delivered record of what was deposited: lot number, bags, commodity, date, rent terms and your storage details. It is the farmer’s proof, and it must be clear in the language they read.
We design the receipt with you, usually a compact half-page print in Hindi with key numbers large enough to read at a glance. The same details go by WhatsApp or SMS to the mobile number on record, so a lost paper receipt no longer means an argument. Duplicate prints are marked as duplicates.
When a lot is partly withdrawn, the farmer receives an updated balance. At final withdrawal, the settlement slip shows bags taken over time, rent for each part, any advance recovered and the net amount. Traders with many lots get a single statement across all of them.

How does cold storage management software calculate rent per bag per month?
It multiplies the bags in each lot by the months they stayed and your rate, applying your rules for part-months, minimum periods and partial withdrawals. Because it recalculates every day, the counter can tell any owner their current rent without a calculator.
Storages price in different ways, and the software supports whichever you use. Per bag per month is common for mixed commodities. Per bag per season is common where a crop goes in once and comes out over a few months. Some storages charge per quintal. Many have a minimum charge period regardless of how early the bags leave.
Partial withdrawals are where hand calculations go wrong. If a farmer takes 50 of 200 bags in the third month and the rest in the sixth, the software charges each part for its own duration according to your rule, whether that is rounding up to full months, counting part-months as half, or counting days.
Rates can differ by commodity, by customer type (farmer or trader), or by season, and can be changed for the next season without touching past lots. The rates themselves are your commercial decision; the software only applies them consistently.
Temperature and humidity logs without buying new hardware
Temperature logging in cold storage management software can start with operators typing readings each shift and later switch to automatic readings from data loggers you already own. You do not need a new sensor project to begin.
In the manual setup, the operator app shows each chamber with a field for temperature, humidity if measured, and remarks such as “door opened for loading” or “compressor serviced”. Missed readings are flagged. Readings outside the range you set for that chamber and commodity trigger an alert to the owner’s phone.
If your chambers already have data loggers or controllers that export readings through an API or files, we connect to them and pull readings automatically, which removes typing errors and fills the night shifts. We do not supply, install or calibrate hardware; your refrigeration contractor handles that side.
Keeping this record has value beyond daily control. When a trader claims their stock spoiled because of the storage, a complete time-stamped log of chamber conditions is your evidence. The National Horticulture Board publishes engineering guidelines and minimum system standards for cold chain components, which your refrigeration consultant can use to set the ranges the software checks.
Gate passes that cannot release more than the balance
A gate pass from cold storage management software authorises bags to leave only after checking the lot’s current balance and any rent or advance due. It closes the most common leak in paper systems: bags leaving without being recorded.
The owner or their representative asks for a withdrawal. The counter enters the lot and bag count; the system checks that enough bags remain, shows the rent and advance due, and records payment or approval. It then prints a numbered gate pass with lot, bags, vehicle and time. The gate guard checks the pass against the vehicle and marks it used on the app.
Each gate pass reduces the lot balance, and a pass cannot be reused. If a trader sends a different person to collect, the pass records who collected. End-of-day, the owner sees bags in, bags out and cash or UPI received, per gate.
Advances against stored stock and warehouse receipts
Many cold storages give farmers an advance against stored bags, recovered when the produce is sold. Cold storage management software can link each advance to the lot, show the running balance, and deduct it at release, so no advance slips through at a busy withdrawal counter.
The terms of any advance, including interest if you charge it, are your own commercial and legal decision, and your accountant should confirm them. The software records what you decide and applies it consistently.
Some storages also deal with electronic negotiable warehouse receipts. The Warehousing Development and Regulatory Authority (WDRA), set up in 2010, provides the legal framework for negotiable warehouse receipts, and its site lists two e-NWR repositories, CCRL and NERL, through which e-NWRs are issued and pledged for loans. If your facility is registered with WDRA, those receipts are issued through the repository systems, not your own software; your system can store the e-NWR reference and lien status against each lot so staff know not to release pledged stock.
How much does cold storage management software cost in India?

Should you buy ready-made cold storage software or have it built?
Buy ready-made if its rent method, receipt format and lot structure already match yours. Build custom if you run several commodities with different rent rules, need receipts exactly as your farmers know them, or want the data in your own account.
Ready-made products are quicker to start and suit storages with standard practices. The friction shows when your part-month rule is different, when the receipt layout cannot be changed, or when you want advances linked to lots in a particular way. Licence fees and data export are worth checking before you commit.
Custom software costs more upfront, carries no licence fee to us, and is shaped around your season. How long does it take to build cold storage management software?
A full build takes 6–12 weeks. The gate entry, lot and receipt module can be live within about four to five weeks if we start early enough before loading season.
Timing is everything in this business. Start the project two to three months before your main loading period so the gate module is tested on quieter days first. Introducing new software in the middle of peak loading, with tractors queued outside, is the fastest way to make staff hate it.
Week one is paperwork: a receipt, a register page, a gate pass, your rent chart and a sketch of your chambers and racks. We turn these into a written scope. The gate app stores entries on the phone and syncs when the connection returns, with receipts printed on a small thermal or regular printer at the gate. The office dashboard runs in a browser and can also run on a local machine that syncs with the cloud, if your connection is poor all day.

Your cold storage owns everything: the domain, hosting account, database and source code, set up in your name from the start. We work inside them with access you can remove at any time.
Your records are commercially sensitive: which traders store with you, how much, and at what rate. Role-based access limits the gate clerk to entries and passes, the accountant to rent and ledgers, and the owner to everything. Daily backups sit in your own cloud account, and a season-end export gives you a copy you can keep offline.
At handover you get the code, admin logins, deployment notes and short recorded training in Hindi or English. Worked example: cold storage management software for a potato store
Take a hypothetical three-chamber potato cold storage near Agra. Several hundred farmers and a few dozen traders deposit during loading season, rent is charged per bag for the season with a minimum period, withdrawals happen in small lots over months, and a handful of farmers take advances against their stock.
Phase one, built before loading season, would cover gate entry with instant Hindi receipts, lot numbering, chamber-floor-rack placement, and the rent engine with their season rate and partial withdrawal rule. Last season’s balances would be imported from the register.
