What is a canteen management system, and when does a Bhiwadi factory need one?
A canteen management system is software that records every meal served in a workplace canteen against a person, a shift and a payer, then turns those records into caterer bills, contractor recoveries, subsidy reports and cooking forecasts. It sits between HR, the caterer and accounts, each of whom currently keeps a separate count.
Factories in Bhiwadi usually reach for one when the three counts stop matching. Coupons, QR codes, cards or face: how are meals recorded, and what devices are needed?
Meals are recorded when a worker's identity is checked at the counter and the system confirms an unused entitlement for that meal slot. How the identity is read is your choice, and each method has its own cost and weakness.
QR codes are the cheapest: printed on the existing ID card or shown on a phone, scanned by a tablet camera or an inexpensive USB scanner. Cards need a reader and card stock, which you buy from any supplier; our software reads the card number the reader sends. Face or fingerprint terminals already used for attendance can sometimes serve the canteen too, but only if the device lets its punch data be read through an export, database or API. We do not sell, install or service any of these devices.
On the software side, the counter screen is a web app that runs in a browser on a tablet or PC, shows the worker's photo and entitlement, and keeps working offline for a short outage, syncing when the network returns. Contractor billing, subsidies and headcount forecasts: how does the money side work?
Every meal record carries a payer, so month-end billing is a report rather than a week of counting. The same numbers can feed a canteen cost view on management dashboards.
Caterer bill
Meals by type and shift are multiplied by the rates in your caterer's contract. HR checks the system's bill against the caterer's invoice line by line, and any difference points to specific days.
Contractor recoveries
Meals eaten by contract workers are grouped under their labour contractor, producing a recovery statement you can share or deduct as your agreement says.
Subsidy split
For each meal plan, the employer's share and the employee's share are calculated separately, and the employee share is exported for payroll.
Headcount forecast
Tomorrow's meals per shift are estimated from the roster, recent attendance, leave approvals and pre-booked overtime meals, then sent to the caterer each evening. Over time the forecast learns which days run below roster.
Wastage
Leftover weight per meal can be entered by the caterer, so forecasts and menus improve from evidence instead of complaints.

What goes wrong with factory canteen systems, and what are the warning signs?
Canteen systems fail at the counter, in the ten minutes when a whole shift wants lunch. If checking one worker takes longer than serving them, the queue wins and staff go back to coupons.
- A counter screen that needs several taps per worker instead of one scan.
- No offline mode, so a network blip at 1 p.m. stops the canteen.
- Hardware locked to one vendor's software, with data you cannot export.
- Contract worker records that do not match the labour contractor's list, making recoveries disputed.
- No override for genuine cases, such as a lost ID, which pushes supervisors to bypass the system.
- Going live without comparing one month-end bill against the old method.

Is worker, meal and payroll data safe in a canteen system?
It is, when access is limited by role, data stays in your account and personal data is kept to what the canteen needs. Canteen records hold names, photos, departments and deductions, and sometimes link to biometric attendance, so they deserve care.
Counter staff see only the worker's photo and meal entitlement; HR sees meal history; accounts sees bills and deductions; the caterer sees counts, not personal details. Every override and rate change is logged with user and time. Passwords are hashed, connections use HTTPS, and daily backups go to separate storage in your account, with a restore tested before launch.

Hindi counter screens, WhatsApp menus and UPI for guest meals in Bhiwadi
Counter screens speak the shop floor's language. Names appear in Hindi and English, meals are shown with photos and icons, and a green or red screen says “served” or “already eaten” at a glance, which suits a workforce drawn from many states.
