What is contract labour management software, and which Bhiwadi units need it?

From contractor onboarding to the gate: how the records flow
The flow has four stages, and each one blocks the next if something is missing. First, the contractor is registered with its licence, work order, permitted headcount and validity dates. Second, each worker is onboarded under that contractor with identity, age proof, photo, medical fitness and safety induction, and receives a QR card. Third, the gate scans that card and allows entry only if the worker, the contractor and the work order are all valid and the day's headcount is within the limit. Fourth, attendance builds up from those scans and becomes the basis for the contractor's bill.
Because every stage reads the one before it, the gate enforces what HR recorded. A lapsed work order stops a whole contractor's crew; an expired medical stops one person. Overrides are possible, but each one asks for a reason and the name of the manager who approved it, and it shows up in the next day's report.

How does the software check that contractors paid wages, PF and ESI?
It collects evidence and compares it with what the gate recorded. Each month the contractor uploads its wage sheet, bank transfer proof or payment statement, and the PF and ESI challans for your site. What changed with the OSH Code, and where software stops
The Contract Labour (Regulation and Abolition) Act, 1970 was folded into the Occupational Safety, Health and Working Conditions Code, one of four Labour Codes the Government of India brought into force on 21 November 2025. Rules under the Codes, including state rules, have been notified in stages, so the exact registers and returns expected of a unit in Rajasthan are a question for your consultant. One local detail matters on printed registers: Bhiwadi now falls in Khairthal-Tijara district, created out of Alwar in August 2023, while many contractor licences and worker papers issued earlier still say Alwar. The software stores both and prints whichever your adviser wants.

The system is a web application with a PostgreSQL database, a Python or Node.js back end and screens that run in any browser. The gate screen is a light page built for a phone or tablet with a camera, so security can scan QR cards without extra hardware. Hosting sits in a cloud account in your name or on a server inside the plant.
We do not sell, supply or install hardware. If your gates already have turnstiles, face readers or biometric machines, we connect to them where the device exposes its data, through a file export, a local network interface or the maker's cloud API. Where a device exposes nothing, the phone scan becomes the record and the device stays as a physical barrier. Who owns the contractor records, who can see them, and how they are protected
You own everything: the database, the uploaded documents, the source code in a repository under your account and the server it runs on. Access is split by job. Guards see a worker's photo, name, contractor and a valid or blocked status, nothing more. Contractor supervisors see only their own crew. HR sees documents and attendance; accounts see bills and payment evidence. Identity numbers are masked on screen except for users who need them, and each download is logged.
Documents and data are backed up every night to storage in your account, and we test a restore before go-live. HR and accounts logins use a one-time code as a second step. Hindi at the gate, supervisors' phones, WhatsApp and UPI
Guards and contractor supervisors work fast and mostly in Hindi, so their screens use Hindi labels, big status colours and as few taps as possible. A green screen means enter; a red screen shows the reason in one line. HR and accounts screens stay in English, and anyone can switch language. WhatsApp carries most of the day-to-day messages: document expiry reminders to contractors, a morning headcount to the IR manager, a note to a contractor when a worker was stopped at the gate. These go through an approved business messaging setup, explained on our WhatsApp Business API page.
Contractors pay their workers themselves, usually by bank transfer; the software only stores the proof. Our own invoices to you are payable by UPI or bank transfer in INR after you approve the written quote.

A hypothetical scenario, not a client: say an auto-component plant in Tapukara runs 400 contract workers through five contractors for production support, loading, housekeeping, canteen and security, alongside 150 employees on its own rolls.
