What is an employee attendance app, and when does a Bhiwadi factory or site need one?
An employee attendance app records when each person starts and ends work, checks that they were where they should be, applies your shift rules, and hands a clean month-end record to whoever runs payroll. It can live on workers' own phones, on a shared tablet at the gate, or pull punches from a biometric machine you already own, and usually mixes all three.
A Bhiwadi unit tends to need one when the old method starts costing money:
- The time office spends the first days of every month reconciling registers and machine printouts.
- Overtime disputes arise because nobody can show exact in and out times.
- Proxy punching is suspected but hard to prove.
- Staff work at several sites, such as a main plant, a warehouse and a customer's premises, and no single machine covers them.
- Contractors bill man-days that nobody can check against actual attendance.
If you have twenty people on one day shift and a working biometric machine, you may only need a better export, not a new app. We say so at the meeting. When the problem is broader than attendance, our HR and payroll software page covers the bigger system.
Why attendance is a daily headache in Bhiwadi's factory belt
Bhiwadi is a planned industrial town in Rajasthan. It sits in Khairthal-Tijara district, inside the National Capital Region, and BIDA, the authority for the Bhiwadi Integrated Township, describes around 14 industrial clusters with roughly 5,000 units. The belt's profile is set by large plants, such as Honda Cars India's Tapukara factory, which Honda's own site describes as Rajasthan's first car plant, running since 2008, and the Honda two-wheeler plant set up there in 2011, and by the many suppliers in auto components, engineering, electricals, plastics, packaging, chemicals and warehousing around them.
That mix creates exactly the conditions that break simple attendance systems. Many plants run two or three shifts, including nights that cross midnight. A large share of the workforce comes from other states, often through contractors, and moves between units. Phones may not be allowed on some shop floors. And payroll, overtime and statutory records all depend on attendance being right.
The same town also has schools, hospitals, hotels and housing societies with their own staff rosters. The BIDA website describes the township and its industrial areas in more detail.
What we check at a one-to-one meeting in Bhiwadi: the gate, the shift change and the payroll sheet
Attendance problems are visible at the gate at shift change, so that is when we like to visit. We meet face to face at your plant, site office or time office in Bhiwadi, or wherever you prefer. Set it up on WhatsApp or by phone: name a date and a place, and we fix a time that works for both of us. Ideally we arrive fifteen minutes before a shift changes over.
- The punch point: where workers queue, how long it takes, whether phones are allowed past the gate, and how security supervises.
- Your existing machine, if any: make, model and whether its software can export logs.
- The plant boundary and any second sites, so we can plan geofences realistically.
- Your shift chart, standing orders on grace time, half days and overtime, and the list of exceptions the time office handles by hand.
- Last month's attendance sheet and the payroll input format, so the export matches exactly.
Ask the HR or time office head, a shift supervisor, someone from security and the person who prepares payroll inputs to join. After the meeting you get a written scope and an itemised quote in about two working days. We can return for the pilot review on the shop floor and for in-person training of supervisors and security staff before go-live.
How much does an employee attendance app cost in Bhiwadi?
A custom attendance app with geofence and selfie punches, shift rules and a basic report starts at ₹40,000 (US$600). A fuller system with an HR panel, missed-punch approvals, leave, contractor views and payroll exports is a custom web-plus-app build from ₹60,000. Both are starting prices; the itemised quote after the meeting is what you approve.
What moves the number:
- Punch methods: phone only is simplest; adding a kiosk mode or importing from an existing machine adds work.
- Rule complexity: rotating shifts, night shifts, multiple overtime rates and special holidays take time to model and test.
- Sites and contractors: each extra site needs its geofence and each contractor its own view.
- Outputs: a plain Excel export is quick; matching a specific payroll or Tally import format takes longer.
- Face matching: comparing each selfie with an enrolled photo automatically costs more than supervisor spot checks.
There are no per-employee fees from us; running costs are hosting and, where used, a face-matching or SMS service billed to your account. Tablets or phones for kiosks are bought by you from any shop. For wider app budgets see app development cost in Bhiwadi.
GPS, geofence, selfie, kiosk or biometric: which attendance method suits a Bhiwadi unit?
Most units end up with a mix, chosen by worker group rather than one method for everyone. Here is how each works and where it falls short.
Geofence on the worker's phone
The app allows a punch only inside a boundary drawn around your plant or site. It suits supervisors, engineers and site staff with smartphones. GPS drifts indoors and near tall sheds, so boundaries need a margin, and it cannot stop a worker handing his phone to a friend.
Selfie with the punch
A photo taken at punch time ties the entry to a face. Supervisors can spot-check, or an automated face match can compare it with the enrolled photo. Helmets, masks, dust and poor light reduce accuracy, so uncertain matches go to a supervisor instead of being rejected.
Kiosk tablet at the gate
One tablet, fixed near security, where workers punch by code, QR card or photo. Best for shop-floor workers without smartphones or where phones stay outside, and security staff can see who is punching.
Your existing biometric machine
If you already own a fingerprint or face machine, we can often import its logs through the export or SDK it offers, then apply shift rules in our system. We do not sell or install machines.
Supervisor marking
For a small line or a remote site, the supervisor marks the gang present in the app with a group photo. Simple, and honest about its limits.
Can the app handle rotating shifts, night shifts and overtime?
Yes, and this is usually where custom work pays off. Each employee is linked to a shift pattern, for example general shift, or A/B/C rotating weekly, with a start time, end time, grace minutes and break. The app matches each punch to the right shift, so a night-shift worker who punches in at 10 pm and out at 6 am is counted as one working day, not two broken ones.
Rules then follow your standing orders or policy: late mark after the grace period, half day below a set number of hours, weekly off by roster, paid holidays, compensatory offs, and overtime calculated after shift hours with the rates you specify. Early outs and missed punches go to the supervisor's queue for approval, with a reason, rather than being fixed quietly in Excel.
We model the rules from your written policy and then test them against a past month of real punches before go-live. If the app's totals and your time office's totals differ, we find out why together. Overtime law and limits are for your HR adviser to confirm; we build the rules they approve.
If your plant also runs production scheduling by shift, see production planning software in Bhiwadi; the two can share shift definitions.
How does attendance data reach payroll, PF and ESI records?
The attendance app prepares the numbers; your payroll person and consultant use them. At month end the system produces, for each employee, days present, weekly offs, paid holidays, leave, absence, late marks and overtime hours, in the exact columns your payroll software, Tally payroll or consultant's sheet expects. That removes the most error-prone step: retyping from a register. With an employee attendance app in Bhiwadi feeding payroll directly, the difference shows up at every month close, when the time office stops rebuilding sheets by hand.
Where you run payroll in our system too, the attendance totals flow straight into salary calculation. The statutory side, including PF and ESI contributions and returns, labour law registers and wage calculations, depends on rules your CA or labour consultant must confirm. We build the records and reports they ask for and change them when they tell us rules have changed, but we do not give legal or compliance sign-off.
For contractor workers, the same data produces contractor-wise man-days so you can check contractor bills before paying them. Our contract labour software page covers wage registers and contractor compliance records in depth, and the national factory payroll software guide explains typical payroll setups.
Employee attendance app feature checklist for Bhiwadi units
Take this list into any vendor conversation, including ours, and mark each line “now”, “later” or “never”.
- Employee master with department, shift pattern, contractor (if any) and enrolled photo.
- Punch methods: phone with geofence and selfie, kiosk tablet, import from existing machine.
- Offline punches that sync later, for sites with poor signal.
- Shift rules: grace time, half day, night shift across midnight, weekly off roster, holidays.
- Overtime calculation with your rates, and supervisor approval of overtime.
- Missed-punch and correction requests with reason, approval and audit trail.
- Leave requests and balances, if you want leave in the same system.
- Daily muster roll, late list and absent list by department and shift.
- Month-end export in your payroll format; contractor-wise man-days.
- Role-based access for HR, supervisors, security and management.
Items worth postponing: geofenced break tracking, gamified punctuality badges and complex dashboards. They add training time and rarely change payroll. Share the marked-up list before we meet; an employee attendance app in Bhiwadi is quoted faster and more accurately when the must-haves are settled in advance.
Employee attendance app in Bhiwadi: process and timeline
Plan for 6–10 weeks from signed scope to the whole plant punching in the app. Rules and data take longer than screens, so the order matters:
- Meeting at your unit in Bhiwadi, then scope and itemised quote.
- Weeks 1–2: shift patterns, rules and the employee master are loaded from your Excel sheets; screens are shared for approval.
- Weeks 3–6: punch app, kiosk mode, HR panel and reports are built; test builds go to HR and one supervisor.
- Weeks 6–8: one department or one shift pilots the app while the old method continues; totals are compared daily.
- Weeks 8–10: in-person training for supervisors, security and HR at the plant, then full switch-over from the next pay cycle.
Switching at the start of a pay cycle is our strong advice: a mid-month switch makes the first payroll twice as hard. Each stage of building your employee attendance app in Bhiwadi ends with something HR can try on a real phone or tablet. How we build the apps is described on the Android and iOS app services page.
Which technology runs the app, and can it read our existing biometric machine?
The worker app and kiosk mode are built in Flutter, which gives Android apps that run well on budget phones and tablets, with an on-device store for offline punches. The HR panel is a web application on a Node.js or Python back end with a PostgreSQL database, hosted on a cloud account in your name. Geofences are drawn on a map in the HR panel, one or more per site.
For existing machines, the answer depends on the device. Many fingerprint and face terminals come with software that exports punch logs to a file, and some offer an SDK or network interface; in those cases we import the logs on a schedule and apply the same shift rules as app punches. If a device offers no export at all, we cannot pull data from it, and we will tell you that at the meeting after seeing the model.
Selfie face matching, where used, runs through a face-comparison service configured in your account, with a threshold you can tune; low-confidence results go to a supervisor. We do not claim perfect accuracy for any automatic method.
Our Flutter app page for Bhiwadi explains why one codebase suits both phone and tablet use.
Data security, consent and ownership for attendance and selfie records
Attendance records, photos and location points are personal data, and face photos deserve particular care. India's Digital Personal Data Protection Act, 2023 applies to them. Your legal adviser should confirm the notice and consent wording; we build the app so it shows that notice, records acceptance, collects location only at punch time rather than all day, and keeps photos for a period you decide.
Access is split by role: a supervisor sees his department, security sees today's punches, HR sees everything, and management sees reports. Every correction to a punch is logged with who changed it and why, which matters when overtime or a dismissal is disputed. Connections are encrypted and the database is backed up automatically. Former employees lose access the day HR deactivates them, while their records stay for the period your policy sets.
You own the system outright: code, database, cloud account and any store listing are in your company's name, and the handover includes the repository and a technical note. Maintenance is free for 2 months after launch, then from ₹8,000/mo. For hosting choices, see cloud hosting setup in Bhiwadi.
How do you choose an attendance app developer in Bhiwadi, and what are the red flags?
For an employee attendance app in Bhiwadi, pick the developer who asks to see your gate at shift change and your payroll sheet, and who is honest about what GPS and face matching cannot do. Useful questions to ask any shortlist:
- Will you meet us in person at the plant, not only on a video call?
- How do you handle a night shift that crosses midnight, and a missed out-punch?
- What happens for workers without smartphones, or where phones are not allowed?
- Can you import logs from our existing machine, and what if you cannot?
- Will the code, database and cloud account be in our name?
Red flags: promises of 100 per cent proxy-proof attendance, a requirement to buy the developer's own hardware, tracking location all day when only punches are needed, no pilot before switch-over, and a quote without a list of rules and screens. Any of these usually costs more to undo than it saved.
A broader buyer's view is in our attendance management software guide for India.
Hindi screens, workers without smartphones and WhatsApp alerts
Workers in Bhiwadi's units come from across India, and Hindi is the common language on most shop floors. Punch screens are therefore Hindi-first, with a large single button, the employee's photo and name for confirmation, and colour cues rather than long text. The HR panel can run in English.
Not every worker owns a smartphone, and some plants keep phones outside the production area. For them, the kiosk tablet at the gate or time office is the answer: punch by employee code, QR card or photo, with security watching. Budget Android tablets work fine; you buy them from any shop, and we set them up in a locked kiosk mode.
WhatsApp is where supervisors already live, so the system can send each supervisor the absent list fifteen minutes after shift start, and the plant head a daily headcount by department, through the official WhatsApp Business API on your number. Workers can receive their monthly attendance summary the same way.
Our fees are paid by UPI or bank transfer, in INR. For how we design screens for shop-floor users, see UI and UX design in Bhiwadi.
Worked example: a hypothetical plastic moulding unit in Khushkhera
This is an invented scenario to illustrate scoping; it describes no real business and no results. Suppose a plastic moulding unit in Khushkhera has 140 people: 30 staff on a general shift, 90 machine operators on rotating A/B/C shifts supplied partly by two contractors, and 20 people at a small warehouse nearby. It owns one fingerprint machine and keeps overtime in Excel.
At the in-person meeting at the gate during shift change, we would probably note a long queue at the single machine, phones banned on the moulding floor, overtime disputes every month, and contractor bills paid without checking man-days. Version one would therefore import the machine's logs, add a kiosk tablet at the gate to cut the queue, give staff and the warehouse team a geofence-and-selfie app, apply rotating shift and overtime rules, and export contractor-wise man-days plus a payroll sheet.
Leave, face matching and WhatsApp alerts would come later. Pricing would start from ₹40,000 for the app and kiosk, moving towards ₹60,000 with the HR panel and payroll export, piloted with one shift for two weeks before the next pay cycle.
Attendance for Tapukara, Neemrana, Pathredi and multi-site teams
Many employers in the region run more than one location: a main plant in the RIICO area, a second unit in Pathredi or Ghiloth, a warehouse near Tapukara, or maintenance crews working inside customers' plants in Neemrana. The attendance system treats each as a site with its own geofence, kiosk and supervisor, while HR sees one combined muster roll.
Service businesses benefit too. Security agencies and housekeeping contractors deploying guards and cleaners across dozens of client premises can mark attendance per deployment site, which also supports their billing to each client. Construction and fabrication contractors can open a new site geofence in minutes when a job starts.
We meet employers one to one across the belt, including across the border in Dharuhera and Manesar. For head offices in the wider NCR, our Gurugram and Faridabad pages describe how we work there, and the Bhiwadi services hub lists related factory software such as canteen, gate pass and visitor systems.
However many sites you run, the price basis for an employee attendance app in Bhiwadi stays the same: software priced by scope, never per head, with the same starting points for a unit in Tapukara as for one in the RIICO phases.
