What is transport management software, and who in Bhiwadi needs it?

Trips and LRs
A booking creates the LR with consignor, consignee, goods, weight, rate and e-way bill number. The trip sheet adds truck, driver, route, loading and unloading times. One trip can carry several LRs.
Diesel
Every fill is recorded with pump, litres, rate and odometer. The system works out litres per km per truck and route, and flags a trip that used more diesel than that truck's normal range.
Drivers
Cash or UPI advances, allowances, tolls paid in cash, fines and recoveries sit in each driver's ledger and settle at trip end, with a statement the driver can check.
POD
The driver photographs the signed POD at delivery and sends it through the app or WhatsApp. The office links it to the LR, and the trip turns billable immediately.
Freight bills
Completed LRs roll into party-wise bills in your GST format, with outstanding and ageing per party and export to Tally.

- Factories with their own trucks often need transport records inside their dispatch or ERP flow, which packaged transporter apps rarely provide.
Whichever way you go, ask to see an LR created and a driver settled on a phone, ask who owns the data and whether it exports to Excel, ask how PODs will actually get from the driver to the office, and ask for a quote split by module. Does transport software need GPS, a driver app or e-way bill links?
None of them is essential on day one. The core is a web application on a cloud server in your name, used by the booking desk, accounts and the owner's phone; drivers can take part through WhatsApp alone.
A driver app, built in Flutter from ₹40,000, makes sense when you want POD photos, trip start and end, and expenses logged directly by drivers with offline storage for poor-network stretches. GPS is a device and subscription question: we do not sell trackers, but if your GPS provider offers an API or data export, trip locations and distances can flow into the system. E-way bills are generated on the government's e-way bill system. Where your setup has API access through the official route, the software can pass LR details across; otherwise staff generate the bill on the portal and type its number into the LR, which is quick and common. Who owns the trip data, the ledgers and the code?
You own them, completely. The hosting account, database and code repository are opened in your business's name at the start, and our developers work in them as invited users you can remove.
For a transporter, the database is the business: party rates, outstanding bills, driver balances, years of trip history. It stays in your account, is backed up daily to storage you control and exports to Excel whenever you want. Nothing is shared with other clients or reused.
On handover you receive admin access, the repository, deployment notes and a short Hindi and English guide for the munshi on creating LRs, closing trips and settling drivers. Maintenance is free for the first two months after launch; after that, it continues from ₹8,000/mo if you want it, or another developer can take over with everything they need. Additions such as a second branch or a driver app are quoted and approved in writing before work starts, as our terms describe.
What red flags should transporters watch for?
The costliest failures are quiet ones: diesel fraud the system cannot see, PODs that never reach billing, and a munshi who keeps the real numbers in the old diary because the software is slow.
- No odometer or litres field on diesel entries, so mileage cannot be checked.
- Driver advances recorded without who approved them and how they were paid.
- A POD process that depends on drivers learning a complicated app.
- LR formats that do not match what your parties expect, forcing retyping.
- Live-tracking promises that quietly assume you will buy the seller's GPS devices.
- No Excel export, or data held only on the seller's server.

How is freight, party and driver data protected?
By giving each person only what their job needs and logging every money-related change. Rate cards and party outstanding are commercially sensitive, and driver advances are where small frauds start.
Booking staff create LRs and trips but cannot change rates; accounts raises bills and records receipts; only the owner or a named manager approves advances above a limit you set; drivers using the app see only their own trips and ledger. Edits to diesel entries, advances and bills keep the old value, the new value, the user and the time.
Logins are personal, with OTP where it helps, traffic runs over HTTPS, and daily backups go to separate storage in your account, with a restore tested before launch. Can drivers use it in Hindi and send POD on WhatsApp?
Yes. Drivers and munshis work in Hindi, so their screens, statements and messages are in Hindi with simple icons, while party bills and reports stay in English. Drivers come from many states, and a Hindi-first, picture-led screen suits almost all of them.
WhatsApp is the easiest route for drivers who will not install another app. A driver sends the POD photo with the LR number to a business WhatsApp number, and the system files it against the right trip; trip-start and delivery messages can work the same way. UPI matters because driver advances increasingly go by UPI. Each advance is recorded with its UPI reference, so settlement matches your bank statement. A worked example: transport management software for a 25-truck fleet in Bhiwadi
This example is hypothetical, written only to show how we would scope such a project. It is not a client and has no results attached.
