What does a Power BI developer do on a freelance project?
A Power BI developer turns scattered business data into reports people trust and open without being asked. On a freelance project that breaks into five pieces of work, and the visible charts are only the last one.
First comes connection: reaching your data wherever it lives, from Excel on SharePoint to a SQL database or accounting exports. When should you hire a freelance Power BI developer?
Hire one when someone on your team spends hours every week copying numbers between spreadsheets to produce the same report, or when different managers quote different figures for the same month. Both are signs the data needs a single model, not more spreadsheets.
A freelance Power BI developer is a good fit for a defined reporting need: sales by region, collections and receivables, stock ageing, production output, marketing leads. It is less suited to building an enterprise data warehouse across many departments; that needs a larger team and a longer programme.
If your team already uses Microsoft 365, Power BI is often the natural choice because sign-in, sharing and Excel integration are familiar. If you have no Microsoft licences and want a public dashboard for customers, look at the alternatives section below before committing.

Why the data model matters more than the visuals
Almost every slow or untrustworthy Power BI report we see has the same cause: data loaded as one enormous flat table with calculations bolted on as columns. It works at first and falls apart as months of data pile up.
We build a star schema: one or more fact tables holding transactions (invoices, orders, receipts) surrounded by dimension tables describing them (customers, products, branches, dates). Relationships run one way from dimensions to facts. A dedicated date table, marked as such, makes time intelligence such as month-to-date, same period last year and financial-year totals reliable.
Numbers are written as DAX measures, not calculated columns, wherever possible. Measures calculate at query time in the context of whatever filters the user picks, keep the file small, and live in one place so a change to the definition of “net sales” updates every visual at once. Each measure gets a clear name and a short description visible to report users.

Cleaning data in Power Query without breaking next month
Power Query is where most of the real effort goes, and where shortcuts cost you later. The aim is a transformation that runs every refresh without anyone fixing the source by hand.
We handle the common problems explicitly: header rows that move, merged cells, dates typed as text in mixed formats, trailing spaces in customer names, product codes stored as numbers that lose leading zeros, and a new column someone adds to the Excel template. Steps are named so the query reads like a recipe, and each source is loaded through a function when several files share a layout, such as one workbook per branch.
Where Power Query would have to do too much, we move the clean-up upstream into a small scheduled job that writes tidy data to a database. That is often the point where data automation from ₹40,000 pays for itself, because the report then refreshes quickly and fails less.
How do I set up scheduled refresh in Power BI?
Publish the report to a workspace in the Power BI service, enter credentials for each source, and set a refresh schedule. The details decide whether it keeps working.
Cloud sources such as SharePoint Online, Azure SQL or many SaaS connectors refresh directly. Anything on your premises (a SQL Server in the office, Excel files on a local PC, an accounting system on a local machine) needs an on-premises data gateway, installed on a machine that stays on and can reach both the source and the internet. We install it in standard mode, register it under your organisation, and document how to restart it.
Plan the schedule around licensing limits: at the time of writing, Microsoft allows up to eight scheduled refreshes a day on a Pro licence and up to forty-eight on Premium Per User or capacity. Refresh failures should notify a named person by email, so a broken source is spotted the same day, not at month end.

Sharing Power BI reports safely: licences, workspaces and row-level security
Sharing is where Power BI projects most often go wrong, usually because licensing was not planned. Decide who will view the reports before the build starts.
In most small and mid-sized setups, the person publishing needs a Power BI Pro or Premium Per User licence, and people viewing shared content also need a Pro licence unless the workspace sits on a larger Premium or Fabric capacity. Microsoft changes licensing terms from time to time, so confirm current rules and prices with Microsoft or your licence reseller; you buy licences directly in your own tenant.
Row-level security lets one report serve everyone. We define roles in the model, for example a branch manager sees only their branch, a regional head sees their region, and map users or groups to those roles in the service. Each role is tested by viewing the report as that role before go-live. Avoid “Publish to web” for business data: it creates a public link anyone can open.
How to choose a freelance Power BI developer
Ask to see a model, not a screenshot. Any competent person can make attractive charts; the model view in Power BI Desktop shows whether they understand relationships and measures.
Useful questions: How would you model our invoices and receipts? Where would you put the financial-year logic? Show me a DAX measure you wrote for year-on-year growth and explain it. How will refresh work for our local files? How will you stop a branch manager seeing another branch’s data? Clear, specific answers are a good sign; “we will figure it out once we see the data” is fair only if followed by a plan to look at sample files first.
Then ask for a small paid first step: one page built on a sample of your real data, refreshed in your tenant. It will show more than any portfolio.
How much does a Power BI developer freelance project cost?
Freelance Power BI quotes vary widely, and the cause is almost always the data rather than the report. Before comparing prices, compare what each quote assumes about your sources.

Power BI with Tally, Excel and Indian business data
Many Indian businesses keep accounts in Tally and operations in Excel or Google Sheets, so the first question is how to get that data into Power BI reliably.
Tally data can be read through its ODBC interface or through scheduled exports that a small job cleans and loads into a database. ODBC connections run on the machine where Tally runs, so they need the gateway set up on that network. Excel works well if files live on SharePoint or OneDrive with a fixed template; files emailed around with changing layouts are the main source of refresh failures.
Indian-specific model details matter too. Financial years run April to March, so the date table carries fiscal year and quarter columns. Amounts should display in lakh and crore where your managers think in them, which needs custom format strings. GST fields (taxable value, CGST, SGST, IGST) belong in the fact table as separate columns so tax reports reconcile with filings. Hindi or regional-language labels are possible where staff prefer them.
Power BI or another dashboard tool?
Power BI is a strong choice for internal reporting in organisations that already use Microsoft 365. It is not always the best tool, and a freelance Power BI developer should say so when it is not.
Consider alternatives when viewers are mostly outside your organisation, when per-user licences for many occasional viewers would cost more than the report is worth, or when your team works on Macs and needs to edit reports (Power BI Desktop runs only on Windows). Google’s Looker Studio suits teams on Google Workspace with simple needs. Open-source tools such as Metabase suit teams who can host software. A report that takes twenty seconds to respond will not be used, whatever it shows. Speed comes mostly from the model, then from the report design.
On the model side: import mode for most small and mid-sized datasets, DirectQuery only when data must be near real time or is too large to import; remove columns nobody uses; avoid high-cardinality text columns in fact tables; prefer integers for keys; and write measures that avoid iterating over whole tables when a simple aggregation will do. Incremental refresh helps once history grows large.
On the report side: fewer visuals per page, slicers that sync only where needed, and a mobile layout for people who open reports in the Power BI app on their phones. We check heavy pages with Performance Analyzer in Power BI Desktop and fix the slowest visuals first.
Example: a distributor’s collections dashboard
A hypothetical scenario, not a client story. A pharmaceutical distributor with five branches keeps invoices in Tally at each branch and receivables follow-ups in Excel. Every Monday the accounts head spends half a day merging files to see who owes what.
The freelance Power BI developer plan: a small scheduled job collects Tally exports and the follow-up sheets into one database each night; Power BI models invoices, receipts and customers with a financial-year date table; measures calculate outstanding amount, ageing buckets and collection efficiency; row-level security lets each branch manager see only their branch while the owner sees all five.

Settle these before the build starts. Each one prevents a common delay or surprise.
