When is n8n the right automation tool, and when is it not?
Choose n8n when volume is high, data must stay on your own server, or the logic needs code. Choose something simpler when you have a handful of light flows and nobody to look after a server.
n8n shines in three situations. First, volume: self-hosted n8n has no per-execution charge from n8n, so a flow that runs thousands of times a day costs roughly what the server costs. Second, control: customer data, invoices or health information can stay on infrastructure you own, in a region you choose. Third, complexity: branching logic, loops over records and custom JavaScript are native, not workarounds.
It is the wrong choice when you need five simple flows, run them rarely, and have no one to apply updates or read an error alert. A hosted tool with per-task pricing may cost less in money and attention. We would rather tell you that on the first call.

Ask to see an exported workflow from a past project with sensitive values removed, and ask them to walk you through what happens when a step fails. If there is no error branch, no alert and no retry, that is your answer. Ask where the instance will run and in whose account. Ask how credentials are stored and who can see them. Ask what documentation you receive.

Self-hosting gives you control over where data lives; it also makes you responsible for protecting it. Plan for both.
For Indian businesses, the Digital Personal Data Protection Act, 2023 makes careful handling of customer personal data a legal matter, not only good practice. Hosting n8n in an Indian cloud region, such as AWS Mumbai or Hyderabad, keeps processing close to home. Beyond location, the basics matter most: HTTPS only, no public database port, strong unique logins with two-factor authentication where available, API keys with the narrowest permissions, and execution logs pruned so personal data is not kept longer than needed.

n8n is fair-code, not classic open source, so read the licence once before you build on it.
The Sustainable Use License lets a business self-host n8n and use it for its own internal purposes without paying n8n, and lets consultants build workflows for clients. If you plan to offer n8n itself to your customers, for example as a hosted automation product or embedded in software you sell, check the licence and n8n's commercial terms carefully first.
