Custom software tab chahiye jab aapka kaam kisi ready-made software mein theek se fit na ho, aur uski wajah se roz samay, paisa ya galtiyaan ho rahi hon. Sirf “apna software hona chahiye” wajah kaafi nahi hai.
Kuch pehchaan: staff har din ek hi data teen jagah likhta hai, register se Excel mein, Excel se billing mein. Maal kitna hai, yeh jaanne ke liye godown phone karna padta hai. Kaunsa salesman kis party ke paas gaya, kisi ko pata nahi. Mahine ke aakhir mein report banane mein do din lagte hain. Ya aapke dealers roz phone karke poochte hain ki unka order kahan tak pahuncha.
In sab mein ek baat common hai: kaam ka ek tareeka hai jo sirf aapke business mein hai, aur aam software use pakad nahi paata. Wahan custom software sabse zyada faayda deta hai.

Step 1: Software banwana hai toh requirement list kaise likhein, bina technical bhasha ke
Requirement list software ka naksha hai. Jitni saaf list, utna sahi quote aur utna kam jhagda baad mein. Ise likhne ke liye technical hona zaroori nahi; apni bhasha mein, Hindi ya English mein, likhiye.
Ek kaagaz ya WhatsApp note mein yeh saat cheezein likhiye:

- Reports: aap roz, hafte aur mahine mein kaunse numbers dekhna chahte hain.
- Doosre software: accounting, GST portal, WhatsApp, payment ya machine jinse jodna ho.
- Kahan chalega: sirf office mein, ya bahar se bhi, ya salesmen ke phone par.
- Pehle version mein zaroori kya: jiske bina software kaam ka nahi. Baaki “baad mein” list mein.

Step 2: Ready-made software lein ya apna software banwayein?
Seedha niyam: agar ready-made software aapke kaam ka zyadatar hissa bina jugaad ke kar deta hai, toh wahi lijiye. Agar aapke business ka sabse zaroori kaam hi usme nahi hota, toh custom software banwaiye.
Ready-made ke faayde: turant shuru, kam shuruaati kharcha, aur doosre hazaron log use karke galtiyaan pehle hi pakad chuke hain. Nuksaan: har saal renewal, data unke server par, aur aapka khaas tareeka unke features mein fit karna padta hai.

Step 3: Desktop, web ya mobile: software kis roop mein banwayein?
Aaj zyadatar business software web par banta hai, yaani browser mein chalta hai, laptop aur phone dono par. Desktop tab chuniye jab internet bharosemand na ho ya machine se seedha jodna ho; mobile app tab jab staff zyadatar bahar ho.
Web software: ek baar banta hai, har computer aur phone ke browser mein chalta hai, data ek jagah cloud par rehta hai, aur owner ghar se bhi dekh sakta hai. Update ek jagah hota hai, har computer par install nahi karna padta. Hum zyadatar isi roop mein banate hain.
Desktop software: Windows par install hota hai. Step 4: Software banwana hai toh kitna kharcha aayega?

Think of software as rooms in a house. Login and user roles are the foundation. Each module (billing, stock, purchase, leads, dealer orders, job cards) is a room. Reports are windows into each room. Step 5: How long does it take to get software made?
Most small-business software takes 6–12 weeks with us from approved scope to go-live. The build itself is rarely the slow part; decisions, data and testing by your team are.
A typical flow looks like this. Week one: we turn your requirement list into a written scope and screen list, and you approve it. Weeks two and three: screen designs and the database structure, which you review on a preview link. Weeks three to eight or so: modules are built one at a time, and you test each on the preview as it arrives rather than waiting for the end. Then one to two weeks of importing your old data and testing with real entries. Then go-live and training.
What stretches the timeline: the scope changing mid-way, old data that needs heavy cleaning, staff unavailable to test, or waiting on another software vendor for API access. What shortens it: one decision-maker on your side who replies within a day, sample data sent in week one, and a firm “phase two” list for new ideas.

Step 6: How to choose a software developer you can trust
Choose the developer who asks the most useful questions about your business, shows you working software, and puts ownership in writing. A low quote with no questions asked is a warning, not a bargain.
Questions to ask any developer, including us:
- Can I see or use software you built that is live today?
- Will you write the scope and screen list before quoting, and will the quote be module-wise?
- Where will my data live, in whose cloud account, and how are backups done?
- Will I get the full source code and database access at handover?
- Who exactly will build it, and who do I talk to when something breaks?
- How do you handle changes I think of after the scope is approved?
- What does support look like after go-live, and what does it cost?
Freelancers on marketplaces such as Upwork, Fiverr or Freelancer.com, local software shops and larger development houses all quote in very different ways, and we do not comment on their rates. The questions above work for all of them. Step 7: Who owns the source code? What to put in writing
You should own the source code, the database and the cloud account the software runs in, and the written quote or agreement should say so. Without this, you are renting your own software.
Source code is the set of files developers write. If you have it, any competent developer can fix or extend the software later. If you do not, you depend on one person forever, and if they stop responding, your business software freezes. Some developers keep the code because they reuse one product for many clients; that can be fine if it is disclosed and priced lower, but you should know it upfront.
Put these points in writing before work starts: the code will be handed over in a repository you control; the software runs in a cloud account in your business name; database access and all admin logins will be handed over; any paid third-party components are listed with their licence terms; and there will be short documentation on how to deploy and back up the system.

Step 8: Data, security and India’s DPDP rules
If your software stores personal data such as customer names, phone numbers, addresses or employee details, India’s Digital Personal Data Protection Act, 2023 applies to how that data is collected and protected. The DPDP Rules, 2025 were notified in November 2025 with a phased rollout, and most obligations apply after an 18-month period.
We are developers, not lawyers, so compliance decisions remain yours, confirmed with your own counsel. What we do is build the software so it supports your obligations: collecting only the data you actually need, role-based access so a salesman cannot export the full customer list, encrypted connections, audit logs showing who changed what, a way to correct or delete a person’s data on request, and backups kept in your own cloud account.
Basic security habits matter as much as the code. Every user gets their own login, never a shared one. Passwords are strong, and two-step login is on for admin accounts. Former staff are removed on their last day. Backups are tested by actually restoring them once in a while.
Tell us at the start if you handle sensitive information such as health records, financial details or children’s data, because that changes how the software should be designed, and we would rather plan it properly than patch it later.
Step 9: Testing with real data before you switch over
Never switch your whole business to new software on a Monday morning without a trial. Run it alongside your old method for a short period, with real entries, and switch fully only when the numbers match.
How we do it: after each module is built, your staff test it on the preview link with real examples from the past week, such as five bills, three purchase entries and one stock transfer. Anything confusing or wrong comes back to us on WhatsApp with a screenshot. Then we import your old data, whether from Excel, another software’s export or typed registers, and you check a sample: do opening stocks match, do party balances match, do last month’s totals match?
For billing and inventory software, a parallel run of one to two weeks is sensible: staff enter in both the old method and the new software, and at the end of each day someone compares the totals. It feels like double work, but it is the cheapest insurance against a bad month-end.
Common problems found during testing are rarely bugs in the code. They are usually unwritten rules: a discount given only to one party, a product sold in two units, a godown that is really a shelf in the shop. Finding them now is exactly the point.
Step 10: Go-live, training and handover
Go-live day should be boring. Data is already imported and checked, staff have practised, and there is a clear person to call if something looks wrong.
Before go-live we record short screen videos in Hindi or English for each role, such as “how to make a bill”, “how to transfer stock” and “how to add a new lead”, so new staff can learn without a trainer. Then a live video session with your team, where they do real entries while we watch.
Handover includes the source code in your repository, database and cloud account access, the admin logins, the handover sheet with renewal dates, and short documentation for any future developer. The first two months after go-live are covered by free maintenance: bug fixes, small changes and help when staff get stuck. After that, maintenance starts from ₹8,000/mo if you want us to continue.
New features after go-live, such as a dealer portal or a mobile app for salesmen, are quoted separately, module by module, so you can add them when the business needs them rather than all at once.
Billing, inventory, CRM and portals: what each software usually covers
Most business owners who say “software banwana hai” mean one of four types. Here is what each usually includes, so your requirement list starts from a sensible base.
Billing software
Party master, product master with GST rates, bill in your print format, credit and debit notes, payment receipts, outstanding by party, and daily sales reports. Often linked to accounting for returns. See billing software developer.

Stock by godown, purchase entries, stock transfers, batch and expiry, reorder alerts, barcode labels and a stock valuation report. Works best alongside billing so every sale reduces stock automatically.
CRM

Customer or dealer portal
Logins for your dealers or customers to see price lists, place orders, track dispatch and download invoices. It cuts phone calls and order errors, and usually sits on top of your billing and stock data.

GST, e-invoicing and accounting links: India-specific features to ask for
Indian business software must handle GST correctly from day one, and depending on your turnover it may need to support e-invoicing. Ask about these before you approve any scope.
Under CBIC Notification No. 10/2023–Central Tax, e-invoicing became mandatory from 1 August 2023 for businesses whose aggregate turnover has exceeded ₹5 crore in any financial year from 2017-18 onwards. If you are in that bracket, B2B invoices need an Invoice Reference Number and QR code from the government’s e-invoice system. Your billing software can prepare the data, and depending on the route your CA prefers, either connect through an authorised provider or export in the required format. Other India-specific points worth listing: HSN or SAC codes on every product and service, intra-state versus inter-state tax split, reverse charge cases if they apply to you, e-way bill data for goods movement, UPI payment references on receipts, and Hindi or regional-language print formats if your parties prefer them.
If your accountant already uses an accounting package, the simplest path is often to keep it and have the custom software send it vouchers or a daily export rather than replacing it. We check what export or API options the package offers before quoting, so the connection is priced correctly.
Worked example: a hypothetical tiles and sanitaryware dealer in Morvi
Say a tiles and sanitaryware dealer in Morvi runs two godowns, sells to about 150 retailers across Gujarat and Rajasthan, and manages everything on Excel sheets, a billing package and phone calls.
The owner’s requirement list, written on WhatsApp in Gujarati-influenced Hindi, says: stock by size, shade and batch in both godowns; dealer-wise rates; orders from dealers by phone turned into dispatch slips; truck loading lists; and outstanding by dealer. The accountant wants to keep the existing billing package for GST returns.
The scope we would propose: a web app with inventory by godown, size, shade and batch; a dealer master with rate slabs; order entry and dispatch slips; truck loading lists; outstanding reports; and a daily export to the billing package. Phase two, quoted separately: a dealer portal where retailers check stock and place orders themselves, and a small app for the dispatch supervisor.
Phase one would start from ₹60,000 and take roughly 8–10 weeks including data import and a two-week parallel run. The biggest risk is not code; it is shade and batch data in the old Excel sheets, which usually needs cleaning before import. That is why we would ask for sample sheets in week one.
