What is a dealer ordering app, and when does a Bhiwadi manufacturer need one?
A dealer ordering app is a private B2B ordering channel between a manufacturer and its trade partners. Each dealer or distributor logs in, sees your catalogue at the rates agreed with them, gets the right scheme applied, places an order within their credit limit, and follows it through dispatch. Behind it sits an admin panel where your sales coordinator approves orders and your accounts team manages credit and ledgers.
A manufacturer in Bhiwadi usually needs one when the order desk becomes the bottleneck:
- Orders arrive by phone, WhatsApp text, photo and voice note, and someone re-enters each one into Tally.
- Dealers dispute the rate or scheme on the invoice every month.
- Credit limits are checked only after goods have left the gate.
- Accounts staff spend hours answering “what is my outstanding?” calls.
- New product launches reach dealers weeks late, through salesmen.
If you have fifteen dealers who order twice a month, a well-organised WhatsApp Business API setup may be enough for now, and we will say that when we meet.
Why Bhiwadi manufacturers with dealer networks are moving orders into an app
Much of what is made in Bhiwadi is sold through dealers rather than directly to users. Industry directories for the belt list makers of auto components, engineering goods, steel and metal products, electrical and electronic goods, plastics and packaging, chemicals and FMCG products, and plenty of them sell through dealers spread across Rajasthan, Haryana, Delhi and beyond. BIDA puts the township's scale at about 5,000 industrial units in roughly 14 clusters.
Geography makes dealer management demanding. By BIDA's figures, Bhiwadi is about 40 km from Gurugram along NH-48 and around 200 km from Jaipur, so a single manufacturer's dealers may sit in NCR markets, in Rajasthan district towns and in Haryana, each with different freight, price groups and payment habits. Orders come in all day from all directions, and the order desk carries the whole load.
Addresses add a small twist: Bhiwadi became part of the new Khairthal-Tijara district, carved out of Alwar on 4 August 2023 and kept when the state reviewed new districts in December 2024, yet many records still read District Alwar. Dealer and ship-to addresses in the app accept both. The BIDA site has the official township background.
Our face-to-face meeting in Bhiwadi: the order desk, the scheme sheet and the accounts screen
A dealer app mirrors how your order desk and accounts team work together, so the meeting happens where they sit. We come to your plant or sales office in Bhiwadi, or a location you name, and meet one to one with the people who handle dealer orders. Arrange it on WhatsApp or by phone; offer a date and place, and we settle on a time that fits both sides.
- The order desk for an hour: how orders arrive, how rates are looked up, where mistakes happen.
- Your price list structure: list price, dealer discounts, price groups, freight terms and exceptions for key dealers.
- The scheme sheet for this quarter, including the unwritten rules the coordinator applies.
- The Tally or ERP screens accounts uses for ledgers, credit limits and invoices, to judge what can sync.
- Two or three dealers' views, by phone from the meeting if they are willing, on how they would like to order.
Ask the owner or sales head, the order coordinator, an accounts person and the dispatch in-charge to attend. Keep the current price list, scheme circulars and a ledger export handy. After the meeting you receive a written scope and an itemised quote in about two working days. We can meet again at scope sign-off, when the pilot dealers start, and to train your staff in person.
How much does a dealer ordering app cost in Bhiwadi?
A dealer app with catalogue, dealer-wise pricing, ordering, order status and an admin panel starts at ₹40,000 (US$600). When ledgers, invoices and orders must sync with Tally or an ERP, or when distributors order for their own retailers, it is quoted as custom software from ₹60,000. A web portal on the same system can sit alongside the app. All are starting prices.
Cost drivers worth knowing before you ask for quotes:
- Price structure: one price group per dealer tier is simpler than item-level exceptions for hundreds of dealers.
- Scheme automation: each scheme type (slab, free goods, combo, turnover) adds logic and testing.
- Integration: two-way Tally or ERP sync is usually the largest single line.
- Channels: app only, web portal only, or both.
- Tiers: manufacturer to dealer, or manufacturer to distributor to retailer.
No per-dealer fees are charged by us. Running costs are hosting and, if the app is published publicly, the one-time US$25 Google Play fee and the US$99 yearly Apple fee. Private distribution is sometimes possible and discussed at the meeting. For other app budgets, see what apps cost in Bhiwadi.
How should a dealer app show price lists and dealer-specific rates?
Every dealer should see only their own net rate, never the whole rate card. The cleanest model is price groups: you define groups such as distributor, dealer and sub-dealer, set discounts or net rates for each, and assign every dealer to a group. Special rates for key accounts sit on top as dealer-specific exceptions, with an expiry date so they do not live forever.
Freight and region matter too. A dealer in Delhi and one in Jaipur may carry different freight terms or ex-works versus delivered pricing; the app shows the landed rate the dealer will actually be invoiced at, including GST as a separate line so there are no surprises on the invoice.
Price changes are the moment most channels break. In the admin panel, a new price list can be uploaded from Excel with an effective date, so orders placed before midnight use the old rate and orders after it use the new one. Dealers can get a push notification or WhatsApp message about the revision, and the change is logged for later disputes.
If your catalogue is large, with part numbers and datasheets, our industrial catalogue website page explains how product data can feed both a public website and the dealer app.
How do schemes, slabs and credit limits work inside the app?
Schemes are written as rules your sales team can edit, not as code. Each rule has a type (quantity slab, free goods, combo, turnover target, cash discount), the products or categories it covers, the dealer groups it applies to, and start and end dates. As the dealer fills the cart, the app shows which schemes apply and what one more carton would add, which tends to lift order sizes without a salesman's call.
Turnover schemes need running totals, so the app shows each dealer their progress for the quarter against the target, calculated from confirmed invoices rather than orders.
Credit control happens at checkout. The app compares the order value plus current outstanding with the dealer's credit limit, and checks overdue bills beyond your allowed days. Instead of a blunt refusal, orders that break a rule go to the sales manager's approval queue with the reason shown, and the dealer sees “awaiting approval”. Limits, overdue days and approvers are all set by you.
The same rules can serve your salesmen's app, so an order booked by a salesman and one placed by the dealer are priced identically. See the field sales tracking app for that side.
Can dealers see their ledger and outstanding in the app?
Yes, if your accounting system can share the data, and in most Tally setups it can. TallyPrime can exchange data through its XML interface, which lets a small connector on your Tally machine or server push ledger entries, bills and outstanding to the app's database on a schedule, and pull approved orders back as sales orders. ERPs with an API work similarly.
The dealer then sees a ledger for any period, open invoices with due dates, a downloadable statement, and invoice copies. Payments they report in the app appear as “under verification” until accounts matches them with the bank, so the ledger in the app never runs ahead of the books.
Timing needs to be agreed: some manufacturers sync every few minutes, others hourly or nightly, depending on whether the Tally machine is always on and reachable. We look at your setup at the meeting and say plainly what is possible.
GST invoices, e-invoices and e-way bills stay with your Tally, ERP or GST provider, and your CA remains responsible for compliance; the app shows the resulting documents. The official e-way bill portal explains that system. Our GST billing software page for Bhiwadi covers invoicing itself.
Dealer ordering app feature checklist for Bhiwadi manufacturers
Mark each item as “launch”, “phase two” or “not needed” before asking any developer to quote.
- Dealer login with phone OTP; one dealer, several staff logins if needed.
- Catalogue with search by name or part number, filters, images, specs and PDF datasheets.
- Price groups plus dealer-specific exceptions with expiry dates.
- Scheme-aware cart showing applied benefits and the next slab.
- Credit limit and overdue checks, with an approval queue for exceptions.
- Order status: placed, approved, packed, dispatched with transporter and LR number, delivered.
- Ledger, open invoices, statements and invoice copies from Tally or ERP.
- Payments reported with UTR and verified by accounts.
- Claims for damage, shortage and warranty with photos.
- New launches and circulars by push notification or WhatsApp.
- Admin panel: dealers, price lists, schemes, approvals, reports by region and product.
Leave dealer loyalty points, gamified targets and chat for phase two unless you already run such programmes on paper. Share the marked list before we meet; a dealer ordering app in Bhiwadi can only be quoted line by line once the must-haves are clear. If dealers should see stock availability, our inventory software page explains where that data comes from.
Dealer ordering app in Bhiwadi: process and timeline
For a dealer ordering app in Bhiwadi, most builds take 6–10 weeks from signed scope to the first dealers ordering; a two-way ERP link or distributor-to-retailer tier can add a few weeks. The sequence is designed so the order desk never stops working:
Meeting and scope
The one-to-one session at your plant in Bhiwadi, then a written scope and quote. You approve before anything is billed.
Data and design (weeks 1–2)
Dealers, price groups, catalogue and current schemes are loaded from your Excel files; clickable screens are shared for approval.
Build and Tally connector (weeks 3–7)
App, admin panel and sync are built, with test builds on your phone and a copy of the Tally data used for testing.
Pilot dealers (weeks 7–9)
Five to ten willing dealers order through the app while the desk still accepts phone orders; rates and schemes are checked invoice by invoice.
Rollout (weeks 9–10)
Your staff are trained in person, then dealers are invited region by region with a short Hindi video and a helpline on WhatsApp. Phone orders stay open until the last region has moved across.
Technology choices: app, web portal, Tally connector and WhatsApp
Dealers differ: some order on the phone at the counter, others from a desktop in the back office. We usually build the app in Flutter for Android and iPhone, and the admin panel and an optional dealer web portal as a web application, all reading one Node.js or Python back end and a PostgreSQL database on a cloud account in your name. One system means one set of prices and schemes, whatever the channel.
The Tally connector runs close to your Tally installation and talks to it over its XML interface, sending changes to the cloud and bringing back orders; if the Tally machine is off, it catches up when it restarts. ERPs with web APIs connect directly.
WhatsApp complements the app rather than replacing it. Order confirmations, dispatch details, payment reminders and circulars can go out through the official WhatsApp Business API, which dealers read quickly. Push notifications through Firebase handle app-only alerts.

How do you choose a developer for a dealer ordering app, and what are the red flags?
When picking a team to build a dealer ordering app in Bhiwadi, choose the one that spends more time on your price list, schemes and Tally than on colour schemes. Ask every shortlisted developer:
- Will you meet our sales and accounts teams face to face in Bhiwadi?
- Show us how a quantity slab and a free-goods scheme are configured without code.
- How exactly will the ledger sync with our Tally version, and what if the Tally machine is off?
- What does a dealer see when an order breaks the credit limit?
- Will the code, cloud account and store listings be in our name?
Red flags: a quote that treats schemes as “customisation extra” without detail, promises of real-time Tally sync before anyone has seen your setup, an app published under the developer's account, no pilot with real dealers, and pricing per dealer that grows every year as your network grows. Any one of these can turn a helpful tool into a monthly argument.
Security, access control and ownership of your dealer data
Your dealer list, rates and ledgers are commercially sensitive, so access is tightly scoped. A dealer sees only their own rates, orders and ledger; a salesman sees only his assigned dealers; the order coordinator sees orders but not margins; accounts sees ledgers and credit; the owner sees everything. Every change to a price, scheme, credit limit or approval is logged with who made it and when.
Connections are encrypted, logins use phone OTP, and a dealer's access can be suspended instantly when they leave your network or fall into dispute. The database is backed up automatically, and the Tally connector only reads and writes the specific data agreed in the scope.
You own the system: source code, database, cloud account, Google Play and App Store listings, and the dealer data itself are all registered to your business. The handover includes the repository and a technical note. Maintenance is free for 2 months after launch and then starts at ₹8,000/mo. Personal data of dealer staff, such as phone numbers, falls under India's data protection law, so ask your legal adviser to confirm the privacy notice we build in.
Hindi, UPI payments and WhatsApp for dealers across Rajasthan, Haryana and NCR
Many dealers in Rajasthan and Haryana district towns prefer Hindi, while distributors in Delhi and Gurugram often use English. Each dealer picks their language in the app; product names and part numbers stay as they appear on your invoices so nothing gets mistranslated. We keep all labels in a translation file your team can review.
Payments in B2B trade usually move by bank transfer, and increasingly by UPI for smaller amounts. The app shows the dealer your bank details and business UPI ID or QR, the dealer pays from their own banking app and records the UTR, and accounts confirms receipt before the ledger changes. If you want online collection through a payment gateway, that is possible with an account in your name; the gateway's fees are between you and it.
Budget phones are common at dealer counters, so the app keeps catalogue images compressed and lets dealers save a favourites list for quick reorders. WhatsApp remains the fallback: a dealer who cannot find something can tap to message your coordinator with the product already quoted.

Worked example: a hypothetical switchgear maker in Bhiwadi with 180 dealers
The following is an invented illustration, not a client story. Picture a switchgear and wiring accessories maker in Bhiwadi's RIICO area selling through 12 distributors and about 180 dealers in Delhi NCR, Haryana and Rajasthan. Orders arrive by phone and WhatsApp, rates live in an Excel sheet, and a monthly quantity scheme causes invoice disputes.
At the one-to-one meeting at the plant, the likely findings would be: the coordinator rekeys around a hundred orders a day into Tally, credit checks happen after dispatch, and dealers call accounts for ledgers every week. Version one would include dealer logins, three price groups plus key-account exceptions, a scheme-aware cart for the quantity scheme, credit checks with an approval queue, dispatch updates with LR numbers, and a nightly ledger sync from Tally.
Phase two could add distributor-to-retailer ordering, claims and a loyalty programme. The first phase would start from ₹40,000, with the Tally connector taking it towards ₹60,000, piloted with eight friendly dealers before inviting the rest region by region. The owner would judge success by fewer rate disputes and fewer ledger calls, not by download counts.
Serving dealers from Bhiwadi to Alwar, Jaipur, Rewari and Delhi
Your dealers are spread out, but the meeting that shapes the app happens where your order desk sits: in Chopanki, Khushkhera, Tapukara, Pathredi, Neemrana or the RIICO phases of Bhiwadi town. We meet manufacturers one to one across the belt and, where useful, can join a call with a distributor in another city during the pilot.
The app handles regions through dealer groups, freight terms and region-wise reports, so the sales head can see at a glance whether Rajasthan dealers are ordering less than NCR dealers this quarter. If your sales office sits outside the belt, our pages for Jaipur businesses and Delhi businesses explain how we work there, and the Bhiwadi services hub lists everything else we build locally.
Starting prices stay the same whether your plant is in Bhiwadi town or further along the belt, and dealers in Rewari, Alwar or Narnaul simply join the pilot remotely. A dealer ordering app in Bhiwadi works best as part of one order book: dealers ordering themselves, salesmen ordering for smaller outlets, and your accounts system as the single source of ledgers and invoices.
