Facebook and Instagram leads go cold fast because the person filled the form in a few taps while scrolling, not while searching for you. A reply within minutes reaches them while your ad is still fresh in their mind; a call the next morning often reaches someone who has forgotten you.
Instant forms are designed to be easy: Meta pre-fills the name, email and phone number from the profile, so submitting takes seconds. That convenience is exactly why intent is lower than on a website enquiry, and why follow-up speed matters more. The lead has not yet read your website, compared prices or decided anything.

What is a Facebook lead ads CRM integration?
A Facebook lead ads CRM integration is an automatic connection between the instant forms on your Facebook and Instagram ads and the customer relationship management system your sales team uses. It removes the manual step of downloading leads from Meta Business Suite.
Technically it has four parts: a subscription that tells Meta to notify your server when a new lead arrives; a small service that fetches the lead’s answers and cleans them; a mapping that writes them to the right CRM fields; and follow-up actions such as assigning an owner, sending a WhatsApp template or creating a call task. Optional fifth part: sending the lead’s later stage, qualified or converted, back to Meta.

How Meta’s lead retrieval webhooks work in a Facebook lead ads CRM integration
Meta offers two ways to get leads out: webhooks, which notify you in real time whenever a lead is created, and bulk reads, which fetch leads in batches from a form or ad. A proper Facebook lead ads CRM integration uses webhooks for speed and bulk reads as a safety net.
Meta’s lead ads developer documentation describes the webhook sending a leadgen notification containing the lead ID, form ID, ad ID and Page ID. Our server then calls the Graph API with that lead ID to retrieve the actual answers. Retrieving full lead data requires permissions including leads_retrieval, pages_show_list, pages_read_engagement, pages_manage_ads and ads_management, while subscribing a Page to webhooks needs pages_manage_metadata. These are granted through a Meta app connected to your Business Manager.
Because a webhook can occasionally fail to deliver, or your server can be down for a moment, we also run a scheduled bulk read every few hours that compares recent leads on each form with what the CRM already has. Anything missing is inserted and logged. That reconciliation is what separates an integration you can trust from one that silently drops a lead now and then.
You need admin access to the Facebook Page running the ads, a Business Manager (Meta Business Suite) that owns that Page, and the ad account. We never ask for your personal Facebook password; you add us as a partner or grant a system user access instead.
We create or reuse a Meta app in your Business Manager, request the lead-related permissions, and subscribe your Page to leadgen events. If a third-party tool is already connected to your Page for leads, we check for it first so two systems do not both create CRM records.
On the form side, review each instant form before we map it. Meta’s developer documentation notes that lead ads are optimised for volume by default and that you can build forms for higher-intent leads instead, which adds friction such as a review step. Custom questions, such as budget, city or preferred date, give sales far more to work with than name and phone alone. Every form should also link to your privacy policy and say how you will contact the person.

Field mapping: getting form answers into the right CRM fields
Field mapping means deciding, for every question on every instant form, which CRM field receives the answer and in what format. Poor mapping is the most common reason a working integration still annoys the sales team.
Standard fields are easy: full name splits into first and last name if your CRM wants that, email goes to email, phone goes to mobile. Phone numbers need cleaning, because leads type them in every format; we normalise Indian numbers to a consistent +91 format so WhatsApp and dialers work. Custom questions need decisions. A multiple-choice “Which course?” maps to a picklist, and the options must match exactly or the CRM rejects the value.
We also write the context that the form itself does not contain: campaign name, ad set, ad name, form name, platform (Facebook or Instagram) and the time of submission. That context lets you see later which ad produced the leads that actually bought, not only which ad produced the most form fills.

Following up on WhatsApp within minutes of the lead
The best first touch for most Indian leads is a WhatsApp message sent automatically within a minute or two, followed by a call from a person. People who ignore unknown numbers will often read a WhatsApp message that names the ad they just responded to.
Because the lead has not messaged you yet, the first message must be an approved template. Meta’s WhatsApp Business Platform documentation says template messages are the only type that can be sent outside a customer service window, and templates are categorised as marketing, utility or authentication, each priced differently. We draft the template with you, submit it for approval, and fill in the lead’s name and the product they asked about.
Once the lead replies, a 24-hour customer service window opens, during which your team can send free-form messages. Replies appear in a shared inbox tied to the CRM record, so the salesperson sees the whole conversation and the form answers side by side. Every new lead should reach exactly one owner, immediately, with everything needed to call. Leads sent to a group chat where “someone” will pick them up are leads nobody picks up on a busy afternoon.
Routing rules come from how your team works. Round robin spreads leads evenly. City or branch routing sends a Lucknow lead to the Lucknow counsellor. Product routing sends home-loan enquiries to one person and car-loan enquiries to another. Language routing sends leads who chose Tamil on the form to a Tamil speaker. Working-hours rules hold night leads for the morning shift and send the lead a message saying when to expect a call.
The alert itself is a WhatsApp message or CRM app notification with the lead’s name, answers, the ad they came from and a tap-to-call link. If the lead is not marked “contacted” within a set time, the manager is alerted and the lead can be reassigned. Those timings, tracked per salesperson, usually improve contact rates more than any change to the ads.

Any CRM with a documented API works with Facebook lead ads through a custom integration. The better question is which CRM your sales team will actually keep updated, because the feedback loop depends on those updates.
Zoho CRM is common among Indian SMEs and has a native Facebook lead ads connector plus a full API; we use the API when routing or WhatsApp logic goes beyond what the connector offers. HubSpot has a native integration too and suits teams already using its email tools. LeadSquared is popular in education and lending. Meta’s delivery system learns from what you tell it. If it only sees form submissions, it looks for more people who submit forms, including people who never pick up. Sending back which leads became qualified or converted helps it look for people like your buyers instead.
The mechanism is the Meta Conversions API. When a salesperson changes a lead’s stage in the CRM, the integration sends an event to Meta that includes the lead ID Meta originally assigned. Meta’s customer information parameter documentation lists the lead ID among the identifiers that are sent unhashed, while contact details such as email and phone must be normalised and hashed with SHA-256 before sending.
This only works if the CRM stages are honest and updated promptly. Privacy and consent when you move Facebook leads into a CRM

India’s Digital Personal Data Protection Act, 2023 applies to personal data such as names and phone numbers, and the Ministry of Electronics and Information Technology notified the DPDP Rules on 13 November 2025, with most obligations phased in over 18 months.
