What is IndiaMART CRM integration?
IndiaMART CRM integration is an automatic link between your IndiaMART Lead Manager and the system where your sales team works, so every enquiry becomes a lead record with an owner, a status and a follow-up date without anyone retyping it.
Without it, the routine in most seller offices looks the same. Enquiries pile up in the Lead Manager app on the owner’s or one executive’s phone. Someone forwards screenshots to salespeople on WhatsApp. A few get called quickly; others wait until evening; some are never logged at all. At the end of the month nobody can say how many IndiaMART enquiries turned into orders, so renewing the plan is a guess.
An integration fixes the plumbing. Each enquiry arrives in the CRM within minutes, carrying the buyer’s name, mobile, company, city, product and message. If the buyer has enquired before, the new message attaches to their existing record. A salesperson is assigned by rule and alerted. The buyer gets a polite WhatsApp acknowledgement. And because everything is logged, a monthly report can show what IndiaMART actually produced.

Does IndiaMART have an API for CRM integration?
Yes. IndiaMART’s Lead Manager offers a Pull API that returns your enquiries as JSON when called with a seller-specific key, and IndiaMART’s help pages also mention a Push API for real-time lead syncing. Both are meant for connecting leads to a CRM or other software.
IndiaMART’s documentation states that the API integration feature is available to clients registered as paid sellers. Free listings do not get it. The Pull API is the one most integrations use: your system asks IndiaMART at regular intervals, “what new enquiries have arrived between this time and that time?”, and receives a list back.
The Push API works the other way, with IndiaMART sending each lead to an address you provide as it arrives. IndiaMART’s help page introduces it as the answer to the Pull API’s timing limits. Whether it is available on your account and how it is enabled is something to confirm with your IndiaMART account manager; we build on whichever route your account supports, and many sellers start with Pull because it needs no public endpoint on their side.
Either way, the IndiaMART CRM integration logic after the lead arrives is identical: validate, de-duplicate, assign, acknowledge, log.
How to generate your IndiaMART CRM key for integration
Log in to seller.indiamart.com, open Lead Manager, use the three-dot menu, choose “Import/Export Leads”, then “Pull API”, and click “Generate Key”. IndiaMART’s help page describes exactly this path and shows the key once generated.
Treat the key like a password. Anyone who has it can read all your enquiries, including buyers’ phone numbers. Share it only through a secure channel with the person setting up the IndiaMART CRM integration, and store it in the integration’s secret settings, not in a spreadsheet cell or a WhatsApp chat.
One detail catches many sellers: IndiaMART’s documentation says the key “will expire if it is not used in the last 7 days.” A test set up and then left idle while the CRM is being chosen will quietly stop working. Once the sync is live and polling every few minutes, this is not a problem; but if the integration is paused, for example during a CRM migration, the key may need to be regenerated and updated.

IndiaMART Pull API limits every integration must respect
The IndiaMART Pull API should be called no more than once every five minutes, each call can cover at most seven days, history goes back 365 days, and more than five requests in a minute suspends the key for 15 minutes. These figures come from IndiaMART’s own help documentation.
Those limits shape the design of any IndiaMART CRM integration. A five-minute cycle means leads reach your CRM within a few minutes, not instantly, which is fine for sales follow-up. Calling faster achieves nothing except a 429 error and, if repeated, a suspended key; badly written scripts that retry in a tight loop are a common reason sellers see leads stop arriving.
Other responses to handle: a 401 means the key is invalid or expired; a 204 means no leads in the requested window, which is normal overnight; a 400 usually means missing dates or a window outside the 365-day range. IndiaMART also notes that data from before the key was generated becomes available after 24 hours, useful when back-filling history.
We handle these with a scheduler that respects the interval, a time-window bookmark that always overlaps the previous one slightly (so nothing falls in a gap), and an alert to you if the key starts returning 401 so it can be regenerated the same day.
What data arrives with each IndiaMART enquiry?
Each lead from the Pull API carries a unique query ID, the query type, the time, and the sender’s name, mobile or email and country, plus the message and, usually, company, city, state and the product they asked about. IndiaMART’s documentation lists these output fields and shows the rest in sample responses.
The query type matters for routing and reporting. IndiaMART’s documentation lists five codes, each worth treating differently:
- W, direct enquiry: a buyer contacted you from your catalogue. Usually the warmest; route to the product owner quickly.
- B, BuyLead: a requirement you chose to consume, which other sellers can also see. Speed matters most here.
- P, PNS call: a call through IndiaMART’s preferred number service. Log it so a missed call gets a callback.
- WA, WhatsApp enquiry: the buyer reached you on WhatsApp through IndiaMART; avoid double-messaging them.
- BIZ, catalogue view: a view of your catalogue rather than an enquiry; useful for reporting, often not worth assigning.

Which CRM works best with IndiaMART integration?

IndiaMART leads to Google Sheets: the simplest integration
For a seller with one to four salespeople and no CRM, pulling IndiaMART leads into a Google Sheet is often the right first step: it costs nothing to run, everyone already knows Sheets, and it can grow into a CRM later without losing history.
The setup is a Google Apps Script on a five-minute timer that calls the Pull API and appends new enquiries as rows, skipping any query ID already present. Columns for status (New, Called, Quoted, Won, Lost), assigned salesperson, next follow-up date and remarks turn it into a working lead tracker. Conditional formatting highlights leads with no status after an hour.
A “My leads” filter view per salesperson keeps screens uncluttered. A morning email or WhatsApp to each person lists their follow-ups due today. The owner gets a weekly summary by query type and product.
Know the limits: Sheets does not stop two people editing the same row, has no real audit trail, and slows down after tens of thousands of rows. Handling duplicate IndiaMART leads and repeat buyers
Treat the IndiaMART query ID as the key for enquiries and the buyer’s normalised mobile number as the key for people: the same query is never created twice, and a buyer who enquires again is attached to their existing lead or customer record instead of becoming a new lead.
Duplicates come from several places. The same buyer asks about three products in one afternoon. A buyer who enquired last month asks again. A BuyLead you consumed was also sent to you as a direct enquiry. Your overlapping time windows (deliberate, so nothing is missed) return the same query twice.
Normalising the mobile number is the unglamorous part that makes matching work: strip spaces, dashes and the +91 or leading zero, then compare the last ten digits. Email is a secondary match. Company name alone is unreliable, because buyers type it differently every time.
What happens on a match is your choice, set as a rule: add the new enquiry as an activity on the existing lead and notify its owner; reopen a lead that was marked Lost; or, for existing customers, alert the account manager rather than treat it as a new sale. The rule matters commercially: without it, two of your own salespeople may call the same buyer with different prices.
Auto-assigning IndiaMART leads to salespeople
Assign by the rule that matches how you sell: by product line if salespeople specialise, by state or region if they cover territories, round-robin if they are interchangeable, and always back to the existing owner for repeat buyers.
Most sellers combine two or three rules in order. A typical chain: if the buyer already has an owner, assign to them; else if the product belongs to a specialist’s line, assign to that person; else assign by state; else round-robin among whoever is marked available today. Leave, holidays and part-time staff are handled through an availability list someone on your team maintains.
Assignment alone does not create a call. The assigned person gets an alert on WhatsApp or email with the buyer’s name, product, city and a tap-to-call number. If the lead is still untouched after a set time, the alert escalates to the sales head. That escalation rule does more for response speed than any amount of reminding in team meetings.

Sending an instant WhatsApp reply to IndiaMART enquiries
An instant WhatsApp acknowledgement tells the buyer, within minutes, that you received their requirement, who will call them and where to see your catalogue. It is sent through the official WhatsApp Business API as a pre-approved template, not from a salesperson’s personal phone.
Buyers on IndiaMART often contact several suppliers for the same requirement, so the first sensible reply sets the tone. A good acknowledgement is short: the buyer’s name, the product they asked about, the salesperson’s name and number, a link to the relevant page on your own website, and a line saying when to expect a call. It does not dump a price list.
Meta’s documentation says template messages are the only messages a business can send outside a customer service window, and templates must be approved before use. Check with your team that the tone and content suit your buyers and follow WhatsApp’s messaging policies; if the buyer replies, the conversation continues in your shared WhatsApp inbox or CRM.

Measuring IndiaMART lead-source ROI inside your CRM
Once every IndiaMART enquiry is logged with its type, product and outcome, you can report cost per genuine enquiry, conversion rate and order value by source each month, and compare IndiaMART with your website, Google and Facebook leads on the same basis.
The report needs three things the integration provides and one it cannot: the lead source and query type on every record (automatic), a status that salespeople keep current (a habit), a link from won leads to order value (from your CRM, ERP or Tally), and the cost of each source, which you enter monthly.

Split by direct enquiries and BuyLeads, because they behave differently. Split by product family too, because IndiaMART may work brilliantly for one line and poorly for another.
