What is a Google Business Profile, and what does an expert add?
Your Google Business Profile is the panel that shows your name, rating, photos, hours, phone number and a directions button when someone searches your business or a service near them. It appears on Google Search and inside Google Maps, and it was called Google My Business until Google renamed it. For many shops, clinics and service businesses, it produces more calls than the website does.
Anyone can create one for free. A Google Business Profile expert adds three things an owner often lacks: knowledge of Google's guidelines, so the listing is complete without breaking rules; a routine, so posts, photos and review replies happen every week rather than once; and the link between the profile and the website, so what Google reads in both places agrees.
What an expert cannot do is bend Google's ranking system. Google says local results depend mainly on relevance, distance and prominence. Distance is fixed by where the searcher stands. Relevance and prominence are what good profile work improves, slowly and without guarantees.

Do it yourself if you have a single location, a clear category, an hour a week and the patience to reply to every review. The steps in this guide are enough, and nothing secret is involved.
Bring in a Google Business Profile expert when any of these are true: the profile was suspended or shows the wrong address; there are duplicate listings; you run several branches; you are a service-area business unsure how to show up without a shop; reviews are going unanswered; or calls from Maps matter enough that an hour a week of focused work pays for itself.

Setting up and verifying a Google Business Profile the right way
Start by searching Google Maps for your business name and phone number. If a listing already exists, claim it rather than creating a second one; duplicates split reviews and confuse Google. If none exists, create the profile from the account that belongs to the business owner, not a staff member's personal Gmail.
Verification proves you run the business. Google chooses which methods to offer: a phone call or text code, an email, a short video recording showing the location and proof of management, a live video call, or occasionally a postcard. The video method is now common; it typically needs a continuous clip showing street signage, the entrance, and something only the owner can access, such as a till, tools or business documents.
A Google Business Profile expert should guide you through this, not do it on your behalf using their own devices or accounts. Once verified, add us as a manager from the profile settings. You stay the primary owner and can remove access at any time.

Business name and categories: the two fields that decide most of relevance
Use your real-world business name, exactly as it appears on your signboard, invoices and letterhead. Google's guidelines forbid adding keywords, locations or taglines to the name. “Sharma Dental Clinic” is correct; “Sharma Dental Clinic Best Dentist Root Canal Lucknow” is a violation that competitors can report and that often ends in suspension.
The primary category matters more than any other field. Pick the most specific one that completes the sentence “this business is a…”. A dental clinic should choose Dentist or a more specific dental category, not Medical Clinic. Additional categories are allowed, but add only those that describe what the business is, not everything it offers. Services and products are the place for the long list.
A Google Business Profile expert spends real time here because categories are easy to change and have a visible effect on which searches the profile appears for. We also recheck them every few months, since Google adds new categories over time.
Service-area businesses: showing up without a shop front
Electricians, AC repair, pest control, home tutors, caterers and packers and movers usually serve customers at their location. Google calls these service-area businesses. They should hide their street address and instead list the areas they serve, which Google suggests should stay within roughly a two-hour drive of the base.
If you work from home, hiding the address is not optional; showing a residential address for a business customers do not visit breaks the rules. Hybrid businesses, such as a bakery that also delivers, can show the address and also list service areas.
Service-area profiles tend to rank for searches near their hidden base, not across the whole area listed. That is why local landing pages on your website, one per important area with genuinely useful content, do much of the heavy lifting. Never use a virtual office or a friend's shop address to fake a presence; Google treats that as a guideline violation.
Completing the profile: description, services, products, hours and attributes
A complete profile answers the questions a customer would otherwise call about. Every field you leave empty is a small reason for someone to choose the next listing.
Description
Up to 750 characters in plain language: what you do, for whom, since when if you choose, and what makes you different. Google does not allow links or promotional pricing here.
Services
List each service with a short description. This is where terms like “root canal treatment” or “AC gas refilling” belong, not in the business name.
Products
Useful for shops and restaurants. Add photos, names and short descriptions; keep them current.
Hours and special hours
Set regular hours and update special hours for Diwali, Eid, Christmas, Pongal and local holidays so customers do not arrive at a closed shutter.
Attributes
Accessibility, payment options, women-led, online appointments. Add only what is true.
Phone and website
A local mobile or landline that staff answer, and a link to the most relevant page on your website, tagged so you can track visits.
Photos that help a Google Business Profile, and ones that waste time
Real photos build trust faster than any description. Customers want to see the entrance so they can find it, the inside so they know what to expect, the team, and the actual products or results. A profile with a handful of stock images looks abandoned next to one with fresh photos from last week.
We ask clients to send five to ten new photos each month from their phone: a new product, a finished job, the shop on a busy evening, a festival decoration. We crop, brighten and upload them with sensible file names. Videos of a short walk-through also help.
What we skip: adding location data into photo files, which has no clear evidence of affecting rankings, and uploading dozens of near-identical images in one go. Also avoid photos with phone numbers or offers written across them; Google may reject those.

Google Business Profile posts: what to publish and how often
Posts are short updates that appear on your profile: news, offers and events. They keep the listing looking active, give customers a reason to call, and let you mention services in natural language. A Google Business Profile expert treats them as a weekly habit, not a campaign.
Good posts are specific and visual. “New batch for Class 11 physics starts 5 June, 12 seats left” beats “We offer quality coaching”. Each post should carry a real photo and one clear button, such as Call or Learn more pointing to the right website page.

Seasonal moments in India give natural topics: exam season for tutors, wedding season for caterers and photographers, monsoon for waterproofing and pest control, festival sales for shops. How to get more Google reviews without breaking the rules
Reviews shape both prominence and the decision a customer makes after seeing your listing. The only safe way to grow them is to ask real customers, consistently, at the moment they are happiest.
Google provides a review link from the profile. We turn it into a short link and a printed QR card for the counter, add it to invoices and WhatsApp messages, and give staff a one-line script: “If we helped you today, a Google review really helps us.” For businesses with many customers, a WhatsApp message after delivery or visit works well, and we can automate it.
The rules are strict. Do not pay for reviews, offer discounts in exchange for them, or ask only happy customers while steering unhappy ones elsewhere (a practice called review gating). Do not post reviews from staff or family. Buying reviews can lead to their removal, a warning on your profile, or suspension. Replying to reviews, including the angry ones
Reply to every review, good or bad, within a couple of days. Replies show future customers that someone is listening, and they give you a chance to correct the record calmly.
For positive reviews, thank the person by name and mention something specific they said, which reads as human rather than automated. For negative reviews, apologise for the experience without arguing, state one fact if something is wrong, and move the conversation to a phone call or WhatsApp. Never share a customer's private details in a reply.
You cannot delete a genuine negative review. You can flag reviews that break Google's policy, such as spam, conflicts of interest, offensive content or reviews meant for another business. We handle the flagging and follow-up. Replies can be written in the reviewer's language; a Hindi review deserves a Hindi reply.

Suspended or duplicate profile? How a Google Business Profile expert fixes it

Google cross-checks what your profile says against your website and other listings. When the name, address, phone number, hours and services match everywhere, the profile is easier to trust. When the website shows an old number or a different address, confidence drops.

Measuring what your Google Business Profile delivers
Rankings on a map shift with every step the searcher takes, so a single “position” is a poor measure. The numbers that matter are actions: calls, direction requests, website clicks and bookings. Google's performance view shows these, along with the search terms people used to find you.

Worked example: a neglected clinic profile, month by month
A hypothetical example to illustrate the work, not a client story. A physiotherapy clinic in a tier-2 city has a profile created years ago by a former receptionist. The primary category is “Medical Clinic”, hours are outdated, there are eleven reviews with no replies, and the website link points to a free page builder that no longer loads.
Month one: recover ownership through the owner's own account, set the primary category to Physiotherapist, correct hours, add services such as back pain treatment and sports injury rehabilitation with plain descriptions, upload fifteen real photos, and reply to all eleven reviews. Months two and three: weekly posts on topics patients ask about, a QR review card at reception, and a WhatsApp message after the final session asking for feedback. The monthly report tracks calls and direction requests. Nobody can promise where the clinic ranks, but the profile is now complete, active and trustworthy, which is what Google and patients look for.
