Why hire an AI developer instead of just buying an AI tool?
Hire an AI developer when an off-the-shelf tool cannot see your data, cannot talk to your systems, or cannot follow your rules. A subscription chatbot is fine for drafting emails. It is not fine for reading your supplier invoices into Tally, answering customers from your own price list, or deciding which enquiry goes to which salesperson.
An AI developer's job is less about the model and more about the plumbing around it: getting clean input, choosing what the model is allowed to see, checking its answer, and passing the result into a sheet, CRM, WhatsApp chat or database. That plumbing is what decides whether the project saves hours or creates a new mess to clean up.
So the real question is not “which AI is best?” but “which task costs us the most human time, and can a machine do most of it with a person checking the rest?” If you can name that task and show twenty real examples of it, you are ready to hire an AI developer. If you cannot, spend a week collecting examples first; it is the cheapest step of the whole project.
- Good first tasks: repetitive, text-heavy, high volume, easy to check
- Weak first tasks: rare decisions, legal judgement, anything with no right answer
- Must have: real sample data and one person who knows what “correct” looks like
How to evaluate an AI developer's claims before you hire
The fastest way to check an AI developer is to hand over a small, messy slice of your real work and watch what comes back. Polished demos use tidy data. Your scanned GST invoices, half-Hindi WhatsApp messages and inconsistent Excel sheets are the real test.
Ask for accuracy as a number measured on examples the developer did not see while building. “It works really well” is not a result. “It extracted 46 of 50 invoice totals correctly, and the four misses were blurred photos” is a result, and it also tells you where a human review step belongs.
Listen for how the developer talks about failure. Someone who has shipped AI into production will bring up wrong answers, confidence thresholds, fallbacks to a person and logging before you ask. Someone who treats the model as magic will talk only about what it can do.
Claims worth believing
Numbers on your own held-back examples; named failure cases; a plan for what happens when the model is unsure; a cost per processed item.
Claims to push back on
“100% accurate”, “no human needed”, “our secret model”, and any promise that avoids saying which provider the data goes to.
Skills to check when you hire an AI developer
Useful AI work sits on ordinary software skill. A developer who cannot build a clean API, handle errors or write to a database will build an AI demo that breaks on day three. Check the base first, then the AI layer.
On the AI side, look for hands-on use of hosted model APIs, prompt design with structured output such as JSON schemas, retrieval-augmented generation (RAG) with a vector store, and evaluation scripts that score answers automatically. For document work, ask about OCR on low-quality scans. For classic machine learning, ask how they split training and test data and which error metric they report.
The skills people forget are the operational ones: rate limits and retries, caching repeated calls, masking phone numbers and Aadhaar-like identifiers before they leave your server, logging each prompt and answer for audit, and setting a spending cap on the API account. At BtechWaleTech, another of us handles the AI, AWS and data side, one of us builds the app or integration it lives in, and the third of us runs the plan and the automation flows.
- Python or Node.js, REST APIs, webhooks, a SQL database
- Hosted LLM APIs, structured output, function or tool calling
- RAG: chunking, embeddings, vector search, source citation
- Evaluation: a fixed test set and an automatic score
- Ops: retries, caching, logging, cost caps, secrets management
Interview questions to ask before you hire an AI developer
Ten minutes of pointed questions sorts experienced builders from people who have only watched tutorials. You do not need to judge the code; you need to judge whether the answers are specific.
Ask each candidate the same questions and write down the answers. Vague replies are a signal in themselves, because production AI is full of specific decisions: which model tier, what chunk size, what threshold sends a case to a human, what is logged and for how long.
- Show me one AI system you built that is still running. What went wrong in its first month?
- How will you measure accuracy on my task, and on which examples?
- Which provider will my data go to, in which region, and is it used for training?
- What will this cost me per month in API usage at my volume? Show the working.
- What happens when the model is unsure or the API is down?
- Where are prompts, test sets and keys stored, and who owns them at handover?
- How would you stop the bot from answering questions outside our business?
If you are comparing general developers too, the broader Python developer hiring guide covers test tasks and contracts.
Data privacy when you hire an AI developer: what to demand
Data privacy is the part of AI hiring that most small businesses skip and most regret. Every time a prompt is sent, some of your data leaves your server for a model provider. You need to know exactly what, to whom, and under what terms.
Ask for a one-page data-flow map before the build: which fields are read, which are sent to the model, which are stored, where logs live and for how long. Personal details such as names, phone numbers, addresses and ID numbers should be masked or removed before the call wherever the task does not need them. Most hosted model providers offer business API terms stating that API data is not used for training by default; the developer should show you the current terms, not paraphrase them from memory.
In India, the Digital Personal Data Protection Act, 2023 applies to how you handle customers' personal data, including data you pass to service providers. We are developers, not lawyers, so for your consent wording and legal obligations talk to a qualified adviser. What we can do is design the system so that less personal data moves in the first place, which is the simplest protection of all.
- Data-flow map in writing, updated when the design changes
- Masking of personal identifiers before model calls
- API accounts in your company's name, not the developer's
- Logs with a defined retention period and restricted access
- An NDA if you share sensitive samples; terms agreed in your written quote
What does it cost to run AI after you hire an AI developer?
Model APIs bill by tokens, roughly pieces of words, counted on both what you send and what comes back. The monthly bill is simple arithmetic: items per month, times tokens per item, times the provider's price per token. A good AI developer shows you this sum before building, using your real documents to count tokens.
Three design choices move the bill more than anything else. First, model tier: small, cheaper models handle classification and extraction well, and only the hard cases need a larger one. Second, how much context is sent: a RAG system that sends five relevant paragraphs costs far less than one that pastes a whole manual into every prompt. Third, caching: repeated questions and repeated documents should not be paid for twice.
Prices of model providers change often, and usually downwards, so we do not quote per-token figures on this page. Instead, your estimate is built from current published rates on the day of the quote, and the API account gets a hard monthly spending limit so a bug or a spam flood cannot run up a surprise invoice.
Build cost
Paid once to the developer. With us, AI automation starts at ₹40,000 and is itemised by data source, integration and review screen.
Running cost
Paid monthly to providers from your own account: model API usage, vector storage if used, and hosting. Estimated in writing before the build.
Hire AI developer cost in India: what pushes the quote up
Quotes to hire an AI developer vary widely across the market, and most of the spread comes from scope, not skill. Two developers pricing “a chatbot” may be pricing very different things: one a single web widget on a public FAQ, the other a bilingual WhatsApp assistant reading a live inventory database with handover to staff.
The items that raise our quote are predictable. Each extra data source (a Google Sheet, an ERP, a folder of PDFs) needs its own connector and cleaning. Each extra action the AI can take needs permission checks and logging. Hindi or regional-language support needs its own test set. A review screen for staff to approve or correct outputs adds a small web app. None of these are padding; each one maps to a line in the quote you can keep or remove.
What should not raise the price: the brand of model. Swapping between providers is usually a configuration change if the code is structured well, and you should ask for that flexibility in writing so you are never locked to one vendor's pricing.

Freelancer, dedicated developer or agency: which way to hire an AI developer?
Choose the model that matches how clear your task is. A well-defined task such as “read these three invoice formats into our sheet” is a project; pay for the outcome. An open-ended programme such as “make our support team AI-first over the next year” needs a longer relationship and possibly several specialists.
Hourly or monthly dedicated-developer contracts suit companies that already have a technical lead to direct the work. Without that lead, you pay for exploration you cannot judge. Project pricing with milestones suits most small and mid-sized businesses, because each stage ends in something you can test.
BtechWaleTech works per project: an itemised quote, stages tied to working output, and support after launch. The limit is honest too. We are three people, so a programme needing many AI engineers in parallel or dedicated model research is outside what we should take on.
Project hire works when
One task, sample data available, a person who can judge results, a budget you want fixed in scope.
Dedicated hire works when
You have an internal technical lead, a roadmap of many AI features, and work that will not end in a few weeks.
How the build runs after you hire an AI developer
A sound AI build moves from evidence to code, never the other way round. The first week is spent proving the idea on your examples; only then do integrations, screens and automation get built around it.
We start by collecting 20 to 50 real examples and writing down the correct answer for each with you. That becomes the test set. A first prototype runs against it and reports a score. If the score is poor, we change the approach or tell you the task is not ready, before most of the budget is spent. If it is good, we build the connectors, the review screen and the logging, then run the test set again on the finished system.
Launch is gradual. The AI runs alongside your staff for a short period, its answers are compared with what people would have done, and only then is it allowed to act on its own for the confident cases. The uncertain ones keep going to a person.
- Week 1: examples, correct answers, data-flow map, cost estimate, prototype score
- Week 2: connectors to sheets, CRM, WhatsApp or your database
- Week 3: review screen, logging, spending caps, error handling
- Week 4: shadow run beside staff, then go-live for confident cases
Who owns the prompts, data and code when you hire an AI developer?
You should own every part that makes the system work: source code, prompts, test sets, vector database content, cloud accounts and model API keys. Prompts in particular are often treated as the developer's secret sauce. They are not; they are configuration for your business, and without them nobody else can maintain the system.
At BtechWaleTech, API accounts and cloud resources are created in your name, with us added as users. The code lives in a repository you control. At handover you receive a short document covering how the system is wired, where the prompts sit, how to re-run the evaluation, and how to rotate keys if a team member leaves.
This matters most when something changes. Providers retire model versions, prices shift and your business rules evolve. If you hold everything, any competent developer can update it. If the developer holds the keys, you are stuck with them.
Red flags when you hire an AI developer
Most bad AI hires show warning signs in the first conversation. The pattern is always the same: big promises, no measurement, and unclear control of data and accounts.
Be especially careful with anyone who wants to run your data through their own account “to keep it simple”, or who bundles API usage into a flat monthly fee without showing the underlying usage. Neither is automatically dishonest, but both remove your visibility of cost and data.
- Promises of 100% accuracy or zero human review
- Refuses a small paid test on your real examples
- Cannot say which model provider receives your data
- API keys or cloud account held in the developer's name
- No written estimate of monthly running cost
- Talks about “training our own model” for a task a hosted API already handles
- No logging, so wrong answers cannot be traced later
Reasonable contract terms are covered in our terms; anything specific to your project goes into the written quote.
Hiring an AI developer for Indian customers and staff
AI that works in a Delhi or Bengaluru office demo can struggle with how Indian customers actually write. Messages mix Hindi and English in Latin script, spellings vary, voice notes are common on WhatsApp, and product names are local. Your test set should include this reality, not a clean English sample.
Documents are another Indian-specific challenge: GST invoices in dozens of layouts, handwritten delivery challans, photos taken on budget Android phones in poor light. Extraction accuracy on these is lower than on clean PDFs, so plan a human check for low-confidence fields rather than expecting perfection.
Costs in rupees matter as well. API bills are usually charged in US dollars to a card, so exchange rates move your monthly spend slightly. We show estimates in both currencies. Our own invoices for work in India are paid by UPI or bank transfer, and international clients pay by Wise, bank wire or PayPal.
Language
Test Hinglish, Hindi in Devanagari and your regional language separately; accuracy differs by language.
Channels
WhatsApp is where most Indian customers will meet your AI, so design for short messages and quick handover to a person.
Worked example: hiring an AI developer for invoice processing
Here is a hypothetical example to show how the numbers and steps fit together. A distributor in Indore receives several hundred supplier invoices a month as PDFs and phone photos. Two staff spend most of their week typing totals, GST numbers and item lines into accounting software.
The first week, the AI developer collects 50 recent invoices and, with the accounts team, records the correct values for each. A prototype using a hosted vision-capable model extracts the fields and scores itself against those answers. Clean PDFs score well; blurry photos miss some fields. The design therefore marks any field below a confidence threshold for human review.
The finished system watches an email inbox and a WhatsApp number, extracts fields, shows a review screen for flagged items, and pushes approved entries to a sheet the accountant imports. The running cost is estimated per invoice and capped monthly. Staff move from typing every invoice to checking only the uncertain ones.
- Build: AI automation from ₹40,000, itemised by inbox, WhatsApp and review screen
- Running: model API usage per invoice, paid from the distributor's own account
- Proof: field accuracy on 50 held-back invoices, re-run after every change
Checklist before you hire an AI developer
Run through this list before signing anything. Each item takes minutes, and together they prevent the most expensive AI mistakes: building the wrong thing, leaking data and discovering the running cost after launch.
Keep the answers in one document. It becomes the scope for your quote and the yardstick for accepting the finished work.
- One task named, with 20–50 real examples and correct answers
- Accuracy target agreed, measured on held-back examples
- Data-flow map: what is sent, where, stored for how long
- Personal data masked unless the task needs it
- Monthly running-cost estimate at your volume
- API keys and cloud accounts in your name, with a spending cap
- Human review for low-confidence results
- Payments in stages tied to working output
- Handover document with prompts, test set and runbook
- Support period and monthly rate after it written down
Hire an AI developer anywhere in India
AI work is remote by nature: your data sits in the cloud, the model sits with a provider, and reviews happen on a shared screen. That means you can hire an AI developer in another state without losing anything, provided the process is written down and progress is visible.
We work with businesses across India from our remote setup. The city pages below describe what firms there tend to ask for: tech firms in Bengaluru and Hyderabad, manufacturers in Pune and Rajkot, traders in Ahmedabad, service firms in Noida and Gurgaon, and growing businesses in Kolkata, Bhopal, Raipur and Madurai.
Overseas clients hire us the same way, billed in USD. See hiring developers from India for overlap hours and contracts.
AI developer hire karna hai? Simple bhasha mein
Pehle ek kaam chuniye jo roz baar-baar hota hai, jaise invoice se data nikalna ya WhatsApp par same sawaalon ka jawab dena. Us kaam ke 20–50 asli examples ikattha kijiye aur har ek ka sahi jawab likh lijiye.
Developer se teen cheezein poochiye: aapke data par chhota test karke accuracy number mein batayega ya nahi, data kis company ke paas jaayega, aur har mahine API ka kharcha kitna aayega. Jo in teenon ka seedha jawab de, wahi sahi hai. BtechWaleTech ke saath AI automation ₹40,000 se shuru hota hai, 2–4 hafte lagte hain, aur API keys aapke naam par rehti hain.
