Why homeopathy clinic software is different from general clinic software
A general clinic system is built for short visits: complaint, vitals, diagnosis, prescription. Homeopathic practice needs the opposite: a long, individual first case, a record of how the remedy was chosen, and follow-ups judged against that first picture. Software that cannot hold this detail pushes the doctor back to paper.
Three things break in ordinary software. First, there is nowhere to put mental and emotional symptoms, thermal reactions, cravings, dreams or modalities in a structured way. Second, prescriptions need potency, scale and repetition, plus placebo, which a generic medicine list does not model. Third, the dispensary is part of the clinic: most homeopaths dispense their own medicines, often in many potencies of the same remedy.
Homeopathy clinic software is built around those needs. It stores the case the way you take it, keeps each follow-up linked to the original symptoms, and treats the dispensary as a first-class module rather than an add-on. How should homeopathy clinic software handle detailed case-taking?
It should mirror your case sheet: clear sections, quick picks for common entries, free text for the patient’s own words, and nothing forced that you do not use. A first case can run over an hour, so the form must not slow you down.

Repertory and materia medica references: what software can and cannot include
Custom homeopathy clinic software can store the rubrics you selected and your reasoning, and it can link to reference texts, but it should only include repertory or materia medica content that your clinic has the right to use. That matters more than most doctors expect.
Older classic texts are commonly treated as public domain, while modern repertories and their software editions are copyrighted and sold under licence. We will not copy a licensed repertory into your system. What we can do is let you record chosen rubrics with grades, keep a remedy differential for the case, and open your licensed repertory program alongside the case, or load reference text you supply and confirm you may use.
For many doctors the practical answer is simple: keep repertorising in the program you already own and trust, and record the outcome in the clinic software, rubrics chosen, remedies considered, why one was selected. That note is gold at the third follow-up, when you are deciding whether to change remedy or potency.
A searchable personal materia medica is another option: short notes you write yourself on remedies you use often, tagged by keynote, and shown next to the prescription screen.
Prescriptions: remedy, potency, dose and repetition
A homeopathic prescription line needs more fields than a general one: remedy, potency, scale, form, number of doses or globules, frequency, duration, and whether placebo accompanies it. Homeopathy clinic software should make writing that line faster than writing it by hand.
The doctor types the first letters of a remedy and picks from your own remedy master. Potency comes from what the dispensary actually has, so the software can warn before prescribing a potency that is out of stock. Common patterns, such as a single dose followed by placebo for two weeks, are saved as templates. LM potencies with daily doses from a numbered bottle get their own fields.
Each prescription is linked to the case and the follow-up in which it was given, with the doctor’s comment on why. At the next visit the software shows the last prescription and the response noted, so the “wait, repeat, change” decision is made with the whole history in view.
For the patient, the printout or WhatsApp message shows instructions in plain language, English or Hindi, without necessarily naming the remedy if your practice prefers coded labels.
How does homeopathy clinic software track potency-wise dispensing inventory?
Stock is tracked at the level you actually buy and use it: remedy plus potency plus scale plus form plus pack size, for example a 30 ml dilution in 200C or a 450 g jar of blank globules. Anything coarser and the counts never match the shelf.
The stock master holds each item with manufacturer, batch and expiry. When a prescription is dispensed, the software records what was used: drops of dilution to medicate globules, a number of tablets, a bottle of mother tincture. Consumption from bulk dilutions is estimated per dispensing rule you set, and a physical count every month corrects any drift.
Reorder levels per item warn the doctor or assistant before a commonly used potency runs out. Purchase entries from your supplier update stock and keep invoices attached. Expiry reports list what should be used first or removed. Blank globules, sugar of milk, vials, labels and courier packaging can be tracked the same way, because running out of vials stops dispensing just as surely as running out of a remedy.

Serving remote patients: online consultation and courier dispatch
Remote practice needs four steps connected in software: book and pay, consult by video or phone, prepare and dispatch medicines, and follow the parcel until it arrives. When those live in separate apps and a notebook, parcels get delayed and payments get missed.
The patient books a slot from a link, fills a short update form, and pays by UPI or card link before the call. The doctor consults with the full case open, writes the prescription, and the dispensary sees a “to pack” list. After packing, the assistant enters the courier partner and tracking number; the patient gets a WhatsApp message with the tracking link. When delivery is confirmed, the follow-up clock starts.

In homeopathy the follow-up is where the case is managed, so homeopathy clinic software should set a due date with every prescription and chase it gently. Patients who feel better often stop reporting, which leaves the doctor guessing.
The doctor sets the interval when prescribing, a few days for an acute case, a few weeks for a chronic one, and the software schedules a reminder. A day or two before, the patient gets a WhatsApp message with a short update form: overall feeling, main complaint on a scale, new symptoms, sleep and energy. Responses land in the case before the consultation, so the doctor walks in prepared.
Overdue follow-ups appear on a daily list for the assistant to call. Patients who have not reported for a long time can be flagged for a courteous check-in rather than silently lost. WhatsApp reminders go through templates approved on the WhatsApp Business Platform; Meta’s documentation explains that templates are the only messages allowed outside the customer-service window, and approval can take up to a day.

Tracking progress over months without losing the first picture
Chronic homeopathic treatment runs for months, so progress tracking should compare each visit with the original case rather than only with the last visit. A simple chart helps both doctor and patient see direction.
For each case, the doctor marks three to five key symptoms at the first visit with a baseline intensity. At every follow-up, those are rescored, and new symptoms are added with dates. The software charts them, so aggravations, improvements and the return of old symptoms are visible at a glance. Photos of eczema, warts or hair loss, dated and side by side, often say more than numbers.
Lab reports that patients share are attached to the case with dates, and values the doctor wants to watch, such as thyroid or blood sugar results, can be charted too. None of this changes clinical judgement; it makes the case easier to review and to explain to a patient who is impatient after six weeks.

How long does a homeopathy clinic software build take?
Most clinics get a first working release in 6–12 weeks. We deliver the case record and prescriptions first, because those are used every hour, and the dispensary and courier modules next.
Week one is spent on video calls with the doctor and the dispensary assistant, going through a real (anonymised) first case, a follow-up, a dispensing session and a courier dispatch. We copy your case sheet into a written form design, which you approve. Weeks two to five build patient records, case-taking, follow-ups and prescriptions on a test link you can try between patients.
Weeks six to nine add potency-wise stock, purchase entries, labels and billing. The final weeks cover online booking, courier tracking, reminders, importing your patient list and training. If you add a patient app, it runs in parallel and takes 6–10 weeks.

Patient privacy, consent and registration details
Homeopathic case records are unusually personal: fears, grief, relationships, habits. Homeopathy clinic software should restrict who can read them, log every access, and keep them in an account the clinic controls. Your own lawyer should confirm your consent and retention wording.
The Digital Personal Data Protection Act, 2023 governs personal data in India. We build consent at registration, separate permission for WhatsApp marketing, role-based access so the dispensary assistant sees prescriptions and labels but not the mental and emotional history, access logs, encryption, backups and a workflow to export or delete a patient’s data on request.
Homoeopathic practitioners are registered through the National Commission for Homoeopathy, constituted under the National Commission for Homoeopathy Act, 2020, which came into force on 5 July 2021 according to the commission’s website. The software can store each doctor’s registration number and print it on prescriptions and certificates.

How to choose homeopathy clinic software, and questions to ask any developer
Ask to see your own case sheet reproduced, a potency-wise stock count, and a courier dispatch with a tracking message, all in one demo. If the product or developer cannot show those, the rest of the feature list matters little.
For a product, check whether you can change the case format, whether stock is tracked by potency and form, whether follow-up reminders are automatic, and how you get your data out. For a developer, ask where the code and data will live, who owns them, how the build is shown during development, and what support looks like after launch.
Red flags include a vendor who copies a licensed repertory without permission, data hosted in someone’s personal account, no written scope, and promises about patient numbers. You own the software outright: source code in your repository, patient data in your cloud account, apps under your store accounts. Nothing stops working if you stop paying us, because there is no licence to stop.
Handover includes admin logins, a guide for editing case forms, the remedy master, stock items and message templates, and technical notes for any future developer. Most changes, such as adding a remedy, a potency or a new follow-up template, are made by your team in the admin screens.
Bug fixes and small adjustments are free for two months after launch. After that, maintenance is optional from ₹8,000/mo, or you can move to another developer with our notes.
