What is mobile repair shop software?
Mobile repair shop software is a job-tracking system built around the life of a repair: a phone comes in, gets diagnosed, waits for approval or parts, gets fixed, is tested and goes back to its owner, sometimes returning later under warranty. It keeps each of those steps linked to one job number and one IMEI.
General retail billing software does not fit this well, because it starts at the sale. A repair shop’s real work happens before the bill: the fault noted at intake, the screen reserved from stock, the customer’s approval of a higher cost, the technician’s notes. Losing any of that leads to arguments at pickup.
Shops usually look for mobile repair shop software after one of three moments: a phone goes missing from the back shelf, a customer claims a warranty nobody can verify, or the owner realises the display stock never matches the notebook.

Following a repair job from counter to pickup
The core of mobile repair shop software is a job that moves through fixed stages, each one recorded with a time and a staff name. Your stages may differ, and the software should follow yours, but most shops use something close to this.
- Received: customer details, phone model, IMEI, fault, condition photos, accessories kept, estimate given
- Diagnosed: technician confirms the fault and parts needed, cost updated
- Awaiting approval: customer asked to approve if the cost changed; approval logged
- Awaiting parts: part ordered from a supplier, expected date noted

- Ready: customer notified; phone moved to the pickup shelf with its job slip
- Delivered: bill settled, warranty period started, handover signed or OTP-confirmed
Two rules make this work in a busy shop. A job cannot skip from Received to Ready without a technician and parts recorded, and nobody can mark Delivered without the bill being settled or marked as credit by the owner. These small locks prevent the most common leaks.
How should mobile repair shop software record IMEI numbers?
Every phone job should carry its IMEI, entered or scanned at intake and checked for format. An IMEI is a 15-digit identifier, and the software can reject numbers that are the wrong length or fail the standard check digit, which catches most typing mistakes.
The IMEI does three jobs in a repair shop. It identifies the device beyond doubt when two customers bring the same model. It links a warranty return to the original repair even if the customer lost the slip. And it helps you be careful with phones of doubtful origin.
On that last point, India’s Department of Telecommunications runs the CEIR system, through which owners can block lost or stolen phones by IMEI. Its Know Your Mobile service lets anyone check an IMEI’s status, including by sending “KYM” followed by the 15-digit IMEI to 14422. Your staff can run this check before accepting a suspicious device; the software can store the date and result of the check on the job. We do not connect to government systems or claim to verify phones ourselves.

Intake done right: condition photos, passcodes and customer consent
Most pickup disputes start at intake. “There was no crack on the back when I gave it” is settled in seconds if the job card has two photos taken at the counter. Mobile repair shop software should make those photos part of the intake, not an optional extra.
Passcodes need care. Technicians often need to open a locked phone to test it after repair, but a written passcode on a paper slip is a privacy risk. We store passcodes encrypted, visible only to the assigned technician, and delete them automatically when the job is delivered. Many shops prefer to have the customer enter the passcode during pickup testing instead, and the software supports both.
The intake slip should also record what the customer agreed to: the estimate, that data loss is possible during some repairs, and how long unclaimed phones are kept. Those terms are yours to set; the software prints them on every slip and asks the customer to confirm by signature or OTP.

Parts inventory: displays, batteries and the grade problem
Parts are where a repair shop’s money sits, and where it disappears. Mobile repair shop software should track each part by phone model, part type and quality grade, and reduce stock the moment a technician takes a part for a job, not when the bill is printed.
Grades matter. A display for one model may come as original, a service pack or a compatible grade at very different costs, and customers must know which one they got. The software records the grade on the job card and the bill, which protects you if a customer later questions the quality.
Suppliers matter too. Recording which supplier sold which batch lets you see failure rates by supplier over time, and return faulty parts with evidence.

Customer status messages: which updates to send and when
Status messages cut the calls that interrupt your counter all day. Four updates cover most needs: received with job number, approval needed if the cost changed, ready for pickup, and delivered with warranty details. More than that starts to feel like spam.
WhatsApp is where most Indian customers read messages, so we send updates through the WhatsApp Business API using templates that Meta approves in advance. SMS is a fallback for customers without WhatsApp. Message charges are billed to your account by the provider.
The approval message deserves special care. When a technician finds a second fault, the customer receives the new estimate and can reply to approve. The reply is logged on the job with a time, so nobody argues later about whether a costlier repair was agreed.

How do you manage warranty on repairs in software?
You manage repair warranty by storing, on every delivered job, the warranty period for the work and for each part, the start date, and what voids it. When the phone comes back, staff search the IMEI or phone number and see immediately whether the claim is valid.
The warranty terms are your business decision; the software just applies them. Many shops give different periods for different repairs and part grades, and exclude physical or liquid damage after the repair. We make those rules configurable, so changing a period for one part grade does not need a developer.
A warranty return opens a new job linked to the original one. That link lets you track repeat failures by technician, by part grade and by supplier, which is the data that tells you whether a cheaper part is really cheaper.
Claim accepted
No charge to the customer; the replacement part is logged against the supplier if the part itself failed.
Claim declined
The reason is recorded with photos, such as new physical damage, and shown to the customer.
Technician workload and the bench view
A bench view shows each technician their queue, sorted by promised time, and lets them move a job forward with one tap. The owner sees the same screen for everyone, which answers “why is this phone still not ready?” without walking to the back.
Time tracking can be light. We record when a technician starts and finishes each stage, which gives you average repair time by job type. Over a few months that tells you how to price, how many technicians you need on Saturdays, and which repairs to stop taking.
Technicians can use a shared screen, a tablet at the bench or their own phones. If they prefer phones, a simple Android app shows their queue, lets them request parts from the counter and upload after-repair test photos.
Billing, GST invoices and payments at the counter
The bill should come straight from the job card, with the labour charge and each part shown as separate lines. That avoids retyping and makes the invoice match what was actually done.

Payments come in by UPI, card, cash and sometimes as an advance at intake. The software records all of them against the job, shows the balance due at pickup, and gives you a daily cash and UPI summary to reconcile before closing.

Choose a ready-made tool if you have one counter, a standard workflow and want to start this week. Choose custom mobile repair shop software when you run several branches, handle high volume, need your own warranty rules or approval flows, or want to own your data without paying per user.
A middle path works for many shops: start with a ready-made tool for six months, learn what you actually use and what annoys you, then commission a custom system with a precise list. That list makes the custom quote tighter and the build faster.

How long does it take to build mobile repair shop software and switch over?
A single-counter system usually takes 6–8 weeks to build; multi-branch setups with stock transfers and a technician app take up to 12. Switching over takes another week or two of running both systems.
We suggest a clean cut-over date. From that day, every new job goes into the software, while jobs already on paper are finished on paper. Old warranty records can be entered gradually, or imported from Excel if you have them. Parts stock is counted once and loaded on the cut-over day.
Training is short because the screens follow your own stages. Counter staff usually need one session; technicians need ten minutes on the bench view.
Multi-branch repair shops, central labs and franchise counters
Once you have more than one counter, mobile repair shop software needs to answer where every phone and every part is. Branches may accept phones but send board-level repairs to a central lab, and parts move between shops daily.
We model each counter and the lab as locations. A job can move from a branch to the lab with a transfer slip, and the customer still gets updates from the branch they visited. Parts transfers are recorded both ways, so stock stays accurate across locations.
Franchise setups add permissions: a franchise counter sees only its own jobs, customers and stock, while the owner sees everything and sets prices, warranty rules and message templates centrally.
Customer data, privacy and doubtful devices
A repair shop holds customer names, phone numbers, IMEIs and sometimes passcodes, and technicians handle phones full of personal data. The software should collect only what the repair needs, restrict who sees what, and keep a log of access to sensitive fields.
India’s Digital Personal Data Protection Act, 2023 governs how businesses collect and use personal data. For doubtful devices, the software can require a KYM check note before a job without a bill or box proceeds, and it records the customer’s ID details if your shop policy asks for them. The Department of Consumer Affairs also runs a Right to Repair portal listing brands’ repair information for mobiles and electronics, which is useful reference for your staff.
Worked example: a hypothetical two-counter shop in Patna
Consider a made-up case to see how a project might run. A repair business in Patna has two counters and four technicians, takes in phones all day, and keeps display and battery stock in a steel cupboard counted by eye.
Phase one: a web system with job cards, IMEI validation, condition photos, parts by grade reserved to jobs, billing and a warranty register, used on the counter PC at both branches. Status messages start with SMS. The quote would start from ₹60,000, plus a line for loading current stock.
After a month of use, phase two adds WhatsApp status messages with approval replies and a technician Android app, from the automation and app lines. The owner then compares parts cost to billed amounts per technician for the first time.
Nothing here promises a result. The software shows the facts; what the owner does with a report that says one grade of display returns under warranty far more often is a business decision.

Send every developer the same information and their quotes become comparable. This short list takes an evening to prepare and saves a week of back-and-forth.
