What is PG management software?
PG management software is a system that tracks beds, tenants, rent, deposits, meals and complaints for paying-guest and co-living properties in one database, usually with an owner dashboard, a manager panel and tenant access by app or WhatsApp. It exists because a PG's business is per bed, not per room or per flat.
That per-bed detail is what makes general property or rental tools awkward. A three-sharing room can have one bed on notice, one occupied and one vacant, each at a different rent and move-in date. Meals are another layer that flats never have. So is the churn: students and young professionals move in and out every month, and every move needs onboarding, a deposit and later a settlement.

Is PG management software worth it for a small PG?
For a single PG where the owner lives on site and knows every tenant, a paid subscription app is worth it once rent chasing takes more than a few hours a month; custom software usually is not worth it at that size. The maths changes with more beds, more properties and hired managers.
The honest test is time and leakage. Add up the hours spent chasing rent, answering “is a bed free?” calls, reconciling UPI screenshots and settling deposits. Add the rent lost to forgotten electricity charges, unrecorded late payments and beds left empty for a week because nobody updated the vacancy list. When that figure is meaningful, software earns its place.
Up to about 40 beds, one property

Bed-level inventory: why PG management software tracks beds, not rooms
Bed-level inventory means every bed has its own record with a price, status and history. It is the single feature that separates real PG management software from a generic rent tool, and it is what lets you answer a walk-in's question honestly within seconds.
Each bed carries its sharing type (single, double, triple, four-sharing), attributes such as AC, attached bathroom, window side or balcony, its current rent and its status. The useful statuses are occupied, on notice with a date, vacant and ready, vacant but under repair, and blocked by a token payment. A visual floor map shows them in colour for managers, while the owner sees vacancy numbers across all properties.
Tracking beds also makes pricing flexible. You can charge more for the window bed, run a discount on a slow floor or hold a festive offer for a month, and the software keeps the old rent for existing tenants. Room-change requests (moving from triple to double sharing) become a transfer between bed records, keeping the tenant's ledger intact.
From enquiry to booking: filling empty beds sooner
Vacant beds are the most expensive problem a PG has, so good PG management software starts before the tenant moves in. It captures every enquiry, schedules a visit, and lets the prospect pay a token amount to hold a specific bed.
Enquiries come from your website, Google Business Profile calls, WhatsApp, listing portals and walk-ins. The software puts them in one list with the source, preferred move-in date, budget and sharing type, and suggests matching beds that will be free by that date, including beds on notice. The manager books a visit slot, and after the visit sends a payment link for the token.
The token blocks the bed for a set number of days, a rule you decide, and turns into part of the first month's rent or the deposit on move-in. If the prospect backs out, the software follows whatever refund rule you have set. Aadhaar eKYC and tenant verification in PG management software
PG management software should verify each tenant's identity digitally at move-in and keep a clear record of police verification and, for foreign nationals, the Form C report. It should not keep piles of Aadhaar photocopies.
UIDAI's offline verification suits PGs well. The tenant shares their Aadhaar secure QR code or paperless offline e-KYC file, which carries UIDAI's digital signature, name, photo, date of birth and address, with only a masked reference instead of the full Aadhaar number. The software verifies the signature and stores the details it needs. That is safer for you and the tenant than scanning cards.
Police verification of tenants is required or requested by police in many cities, usually through the state police's citizen portal or the local station, and the process differs by state. The software can hold the verification status, reference number and date, and remind the manager when a tenant has none. For foreign guests, the Bureau of Immigration's FRRO portal states that all accommodators are legally obliged to fill Form C (now listed as Form III) for every foreigner, OCI cardholders included; the software can flag the tenant at onboarding, prompt the manager to file on the portal and store the acknowledgement. How does rent collection by UPI link work in PG management software?
Each billing cycle, the software creates an invoice per tenant with rent, meals, electricity share and any extras, and sends it on WhatsApp with a UPI payment link. When the tenant pays, the payment is matched to their ledger automatically and a receipt goes back on the same chat.
The details decide whether owners trust it. Rent cycles can follow the calendar month or each tenant's move-in date. First and last months can be pro-rata. Partial payments stay on the ledger with the balance showing. Late fees apply only if you switch them on. Electricity is often split from a room sub-meter reading the manager enters, divided by occupied beds, which removes one of the most common monthly arguments.
Payments settle into your own bank account through a UPI and card checkout, not into ours or a vendor's pooled account. Cash payments at the reception are recorded with the manager's name so the owner sees who collected what. Security deposits, notice periods and move-out settlement
Deposit disputes are where PGs lose goodwill and online reviews, so the software should make every deduction visible and explainable. It tracks each tenant's deposit from the day it is paid to the day it is refunded, with notice and settlement rules that you define.
When a tenant gives notice, the manager records the date and the bed's status changes to “on notice” so it appears in vacancy searches straight away. At move-out, the manager runs a checklist of the room and keys, adds any deductions with a reason and a photo, and the software produces a settlement statement: deposit held, dues pending, deductions, amount to refund. The tenant sees the same statement on WhatsApp or in the app.

Food and mess plans inside PG management software
Mess management in PG software means knowing, before each meal, how many people will eat and what they chose. That cuts food waste, keeps the cook's shopping list sensible and gives tenants a fair way to skip meals when they are away.
Tenants sit on meal plans: all meals, breakfast and dinner only, dinner only, or no food. The weekly menu is published in the app or on WhatsApp. Tenants opt out of a meal before a cut-off time you set, for example the previous night for breakfast, and the kitchen sees a live headcount per meal and per diet (veg, non-veg, Jain). Guest meals can be ordered and billed to the tenant's next invoice.
Whether opt-outs earn credits is a policy question, and plenty of PGs choose not to offer them. The software supports both. Operators running a central kitchen across properties get a combined count and can see waste trends by property. Complaint handling: Wi-Fi, AC, laundry and cleaning
Complaints in a PG are frequent, small and urgent to the tenant, so PG management software should make raising one take seconds and make the fix visible. A ticket with a photo and a status beats a message lost in the property WhatsApp group.
Tenants pick a category (Wi-Fi, AC or fan, plumbing, electrical, housekeeping, laundry, food, noise) and add a note or photo from the app or by messaging a WhatsApp number. The manager assigns it to the in-house technician or an outside vendor, and the tenant is told when it is picked up and when it is closed. Tickets can reopen if the problem returns.
For the owner, the value is in patterns. A monthly view by property and category shows which building's Wi-Fi fails most, which vendor is slow and which complaints recur. Housekeeping schedules can sit in the same module, with room cleaning logged against the schedule. A standalone version for other businesses is on helpdesk ticketing systems.
Do PG tenants need an app, or is WhatsApp enough?
Many PGs can run tenant interactions entirely on WhatsApp, with the app reserved for managers and the owner. Tenants already open WhatsApp every hour; installing another app for a place they may leave in six months is a hard sell.
A WhatsApp-first design sends invoices, payment links, receipts, menus and ticket updates as messages, and lets tenants raise complaints or opt out of meals by replying to a menu. It needs the WhatsApp Business Platform, approved message templates and a number registered for the business, with message charges billed by Meta to your account.
A tenant app makes sense for co-living brands that want community features (events, noticeboard, member directory), a branded experience and richer self-service. PG management software for co-living brands and multi-property owners
Once you run several properties, PG management software becomes a control tower: the owner sees occupancy, collections and dues for every building on one screen, and each manager sees only their own property.
Roles do the heavy lifting. A property manager handles beds, tenants and tickets for one building; a regional manager sees a cluster; accounts staff see collections and expenses; the owner sees everything. Every edit to rent, deposits or deductions is logged with who made it, which protects both the owner and honest managers.
Expenses matter too. Tracking rent paid to landlords, staff salaries, groceries, electricity and repairs per property turns the dashboard into a simple profit view per building, the number that decides whether to renew a lease. Choose a subscription PG app if your rules are standard and you want to start this week; choose custom PG management software if you run many beds, have your own brand, or keep bending your processes to fit the app.
The cost comparison is simple to set up with your own numbers. Take the subscription's pricing for your bed or property count, project it over three to five years with the growth you expect, and compare it with a custom build quote plus maintenance and hosting. Subscription costs typically rise as you grow, while an owned system's running cost stays fairly level.
Other factors weigh as much as money: whether rent settles into your own account, who holds tenant data, whether the app carries your brand, and whether you can change the software when your policies change. How much does custom PG management software cost?

Timeline, and switching to new PG software mid-year
The first release of custom PG management software usually takes 6–12 weeks. Switching from sheets or another app is safest at the start of a rent cycle, with one property going live first.
A typical plan: a week of workshops on your beds, rents, rules and roles; two weeks of clickable screens; four to six weeks of build with weekly test versions; then a pilot property for one rent cycle. During the pilot, the old method runs alongside so no payment is missed. Once collections and vacancy numbers match, the remaining properties move over, one or two at a time.
Migration is its own task. Tenant records, current rents, deposits held and dues outstanding must be imported accurately, and deposit balances in particular need the owner's sign-off because they turn into refunds later. Tenant data, privacy and the DPDP Act
PG management software holds identity details, photos, phone numbers, emergency contacts, payment history and sometimes addresses of parents, which is personal data under the Digital Personal Data Protection Act, 2023. The DPDP Rules, notified by MeitY in November 2025, phase obligations in over 18 months, with most applying from May 2027.
Practical controls in the build: collect only what your process needs, show a short privacy notice during onboarding, keep eKYC data readable only by the owner and the relevant manager, delete or archive records of tenants who left after a period you choose, and log who viewed or exported data. Managers who leave lose access the day you remove them.

Worked example: a hypothetical 180-bed PG operator in Bengaluru
Imagine an owner running three PGs near Electronic City and HSR Layout in Bengaluru, 180 beds in total, mostly two- and three-sharing, with a central kitchen and a manager at each building. This is a made-up scenario to show scoping, not a client story.
The problems are familiar. The owner cannot see vacancy across buildings without calling each manager. Rent arrives as UPI screenshots in three WhatsApp groups and is reconciled at month end. Electricity bills are split by hand. The cook prepares for full occupancy every night and throws food away. Two deposit disputes last quarter turned into poor online reviews.
