What should a CA firm website include, and is a website allowed at all?

Yes. Paragraph 3.3 of ICAI’s Council Guidelines for Advertisement, 2008, reproduced in Volume I of the Code of Ethics, 2026 (in force from 1 April 2026), says members, firms and ICAI-registered networks are free to create their own websites. The same paragraph warns that content or technical features that breach the Code can lead to disciplinary action under the Chartered Accountants Act, 1949, which is why CA firm website design starts with the rulebook and not with a colour palette.

The safe core is factual, and ICAI spells it out: firm name, year of establishment, addresses, peer review status, nature of services, partners with qualifications and areas of experience, employees, vacancies and the number of articled assistants. A visitor looking for a CA wants exactly that: who the partners are, what they handle, where the practice sits and how to get in touch. They also value knowledge: plain-language notes on a new GST rule, a checklist of documents for an ITR, a calendar of due dates. All of that fits comfortably on a chartered accountant’s website.

What makes the job different is the list of things you cannot borrow from other industries. A salon can post before-and-after photos, and a restaurant can run an offer banner; neither works for an audit practice. ICAI’s website rules, read as a design brief

ICAI does not prescribe a format for a CA website; instead paragraph 3.3 lists what may be displayed and sets a few hard limits, and the quickest way to design a compliant site is to treat those clauses as a brief. Every element a template ships with either maps to a permitted item or gets replaced.

Client names are allowed only with the client’s permission, and for audit and attestation work only the name may appear, never the nature of the assignment. A logo strip is not on the permitted list, so we show permitted names as plain text or use a factual “sectors we work with” list instead. The write-up conditions in the same guidelines bar testimonials and endorsements, and allow awards only when given by the Central or State Government or a regulatory body.

Photographs are limited too. Clause 3.3.9 permits passport-style photos of people associated with the firm and a gallery of professional events the firm organised or where its partners lectured; an office party album or stock team photo does not qualify. Good CA firm website design leans on typography and a restrained colour scheme instead. ICAI also bars a logo or monogram for the firm and any way of writing the name that works as one, so the header shows the name as plain text.

Language matters as well. Catchwords are not allowed, and ICAI’s own FAQs give “excellence in a particular area” as an example, so “leading firm”, “best firm” and a “why choose us” block go too. Fees cannot be shown, including “free of charge”, except where a regulator requires the disclosure, and clause 3.3.16 bars banner or any other advertisement on the site. We flag all of this in the content document before design begins.

What does “pull, not push” mean for CA firm website design?

Pull means the visitor chooses to fetch information; push means the site sends it out unasked. Clause 3.3.3 lets CA websites run on both, but services exclusively reserved for chartered accountants, meaning audit and attestation, may be shown only on a specific pull request, so CA firm website design keeps those pages strictly pull.

In practice, a pull pattern is a service menu the visitor opens, an article they click into, a form they choose to fill. Push patterns are the auto-opening chat bubble, the exit-intent pop-up, the sticky promotional bar and the newsletter modal that fires after five seconds. None of these belongs on an audit or attestation page, and a sticky “Book a free consultation” bar fails twice, since it also mentions free service.

ICAI’s 2026 FAQs summarise the split: push and pull are both permitted for non-exclusive services such as consultancy, for disclosures of partners’ areas of experience and for knowledge-sharing updates. Clause 3.3.5 still bars any circular or advertisement that solicits people to visit the website. We build push features as a switch rather than a default, available only on non-reserved pages and only after a partner signs them off.

A WhatsApp button that sits quietly in the corner until someone taps it is, in our reading, a contact method the visitor pulls. A chat widget that opens by itself is not. Where a case is borderline, we leave it out and ask the partners.

Service pages for GST, ITR, audit and company registration

Service pages are where a CA firm website earns its search traffic, because people search by task: “GST registration for a proprietorship”, “ITR for capital gains”, “LLP formation documents”. One page per service, written as information, does far more than a single “Services” page with fifteen bullet points.

Each page follows the same honest shape. What the service is, in one sentence. Who needs it, with the thresholds or triggers stated as the law puts them. The documents a client should gather. The steps involved and what the client does versus what the practice does. Common mistakes. And a short, factual line saying which partner handles this area, with a link to their profile.

Should a CA firm website have a client document-upload portal?

If your staff spend July chasing Form 16s over WhatsApp and email, yes, a document portal usually pays for itself in the first season. If most clients are a handful of companies sending one folder a quarter, a secure upload form is enough and a full portal is overkill.

The simple option is an upload form on the site: the client enters a name, PAN and phone number, attaches files, and the files land in a private storage bucket that only the practice can reach, with a notification to the handling partner. It is a small addition to the information site.

ICAI’s clause 3.3.11 expressly allows a document management facility with a distinct login and password for each client, and clause 3.3.15 asks the site to keep client matters secret. A proper portal is a web application with a login per client, folders by assessment year, a checklist of what is still pending, upload history, and partner and staff roles so an articled assistant sees only what the partner assigns. Compliance calendar and calculators on a chartered accountant’s website

A compliance calendar is the page clients return to most, and calculators are the tools other sites link to, so both are worth building properly. Both are knowledge resources, which is exactly what the guidelines welcome.

The calendar fails when it goes stale. A static page typed once in April will show wrong dates by the time a due date is extended, and extensions happen. We build the calendar from a small data file or admin screen: a staff member adds a row for each due date with the form name, who it applies to and a one-line note, and the page updates. Entries can be filtered by GST, income tax, TDS, ROC and PF or ESI, and each links to the relevant knowledge article.

Calculators need the same care. A tax regime comparison, an HRA exemption calculator, a GST inclusive-to-exclusive converter and an advance tax estimator are the common set. They run in the browser, so nothing a visitor types leaves their phone, and each shows the assumptions and the financial year it applies to. When the Budget changes slabs, the practice gives us the new figures and we update the logic, which is the kind of edit covered in the free maintenance period.

We do not put fees, a sales pitch or a “get this done by us” banner under a calculator. A small factual line naming the practice and a link to the relevant service page is enough.

ITR-season lead capture that stays informational

ITR season is when a CA firm website gets its heaviest traffic, and the way to convert it within the rules is to make the next step obvious without shouting about it. Good information plus a clear, voluntary way to get in touch does the work.

For CA firm website design clients, we prepare for the season in May or early June. The document checklist articles are refreshed, the calendar is updated with the dates the Income Tax Department has announced, and the ITR service page gets a short “how to share your documents with us” section that links to the upload form or portal. Page speed is checked on a budget Android phone, because many salaried visitors arrive from mobile search.

The enquiry form asks only what a partner needs to respond: name, phone, type of income, and whether the person filed with the practice last year. A WhatsApp link opens a pre-filled message such as “ITR query from the website: salaried with capital gains”, which staff can triage quickly. Firm name, domain and email: small details that still matter

The practice name should appear as plain, readable text, the domain should be the practice name or close to it, and email should run on that domain rather than a free mailbox. Those three details shape first impressions more than any design choice.

Because ICAI prohibits any logo or monogram for the firm, including writing the name in a way that amounts to one, we avoid stylised wordmarks, initials inside shapes and decorative lockups. The name is set in a clean serif or sans typeface, the same weight as the rest of the header. That feels restrained, and restraint suits an audit practice.

We register or transfer the domain into the practice’s own registrar account, never ours. Then we set up business email on that domain with SPF, DKIM and DMARC records, so notices and working papers sent to clients are less likely to land in spam. Firm registration numbers and partner details belong on the partner and contact pages as plain facts, and clause 3.3.21 says they must not differ materially from ICAI’s records. We also keep the footer free of any “designed by” credit link to us: clause 3.3.16 permits no advertisement of any kind on the site, and a developer credit is one.

How long does CA firm website design take?

An information site for a CA practice usually takes one to two weeks from approved content to launch; a client portal takes six to twelve weeks. The slowest part is almost never the code. It is partner review of profiles and service wording.

Here is how the weeks tend to run for the information site. In the first two or three days we agree the page list, map it against the prohibited items and share a content document. Partners fill in profiles and review service outlines. While they do, we design the home, partner and service templates on mobile first. Timing around the calendar matters more for accountants than for most clients. Tech choices for a CA practice website: static, WordPress or custom

For most practices a static site built with a modern framework such as Astro is the best fit: fast, cheap to host, hard to hack, and easy to extend with a small admin for articles and the calendar. WordPress suits a practice where staff want to publish several articles a week themselves. A custom application is only for the portal.

A static front end means there is no database behind public pages for an attacker to reach, which matters when a site belongs to someone who handles financial records. Articles can be written in a simple headless CMS and published by a staff member without touching code.

WordPress is familiar and flexible, but every plugin is a maintenance duty. If you go that way, we keep plugins to a minimum, avoid page builders that bloat the page, and set automatic security updates with backups.

Choose static when

The site is mostly profiles, services and articles updated a few times a month, and speed and security matter most.

Client data, the DPDP Act and security on an accountant’s site

A CA firm website collects PAN numbers, phone numbers, salary slips and bank statements, so data protection has to be designed in from the first form. The Digital Personal Data Protection Act, 2023 applies to that personal data, and MeitY notified the DPDP Rules in November 2025 with provisions phasing in over 18 months.

We do not give legal advice on the Act, and compliance remains the practice’s responsibility, confirmed by its own advisor. What we do is build so the obligations are easier to meet. Forms collect only what is needed; a contact form does not ask for Aadhaar. Each form carries a short notice saying what the data is for, with a link to a privacy policy the practice approves. Uploaded files go to private storage, encrypted at rest and in transit, with links that expire.

On the portal, access is by role: a partner sees all files, staff see assigned clients, and each client sees only their own folders. Every view and download is logged. Hosting sits in the practice’s own cloud account, in an Indian region if the partners prefer, with backups they control. Another of us handles AWS setup and security hardening on our side.

We also plan for deletion. A client who leaves the practice can have files removed on request, and old seasons can be archived on a schedule the partners set.

Can a CA firm website rank on Google and show up in AI answers?

Yes. Informational content is the one thing ICAI actively allows, and informational content is exactly what Google, ChatGPT search and Google’s AI Overviews reward. A chartered accountant’s website that explains clearly will often outrank sites built to sell.

Technical groundwork comes first: fast pages that pass Core Web Vitals, clean headings, an XML sitemap, submission to Google Search Console, and structured data. Pick someone who asks about the ICAI guidelines before you raise them, who puts the domain and hosting in your name, and who can explain how uploaded documents are protected. Those three signals separate a developer who understands a CA practice from one reselling a generic theme.

Ask to see live sites and open them on your phone. Ask how they would handle the home page without client logos or team photos. Ask where uploaded files will be stored and who can open them. Ask what happens to the site if you stop paying them. Clear, specific answers are a good sign.

The practice owns everything: the domain, the hosting account, the source code, the content and every uploaded document. We work inside accounts registered to the practice, and at handover you receive the repository, admin logins and a short written note on how the site and portal fit together.

Ownership matters more in CA firm website design than in most projects, because a portal holds client records. If a developer controls the server, they control access to those records. We avoid that from day one by creating the cloud account, storage bucket and database under the practice’s email, with our access granted as a user that can be removed.

The first two months after launch are covered by free maintenance: fixes, small edits, calendar updates and security patches. Can a CA firm have a website in India?

Yes. Paragraph 3.3 of ICAI’s Council Guidelines for Advertisement, 2008, in Volume I of the Code of Ethics, 2026, lets members and firms create their own websites. Partner details, services, peer review status, articles and contact options are fine; fees, testimonials and catchwords are not, and clients may be named only with permission. Breaches can lead to disciplinary action, so a partner should review the content before launch.

Can I put client names or testimonials on a CA website?

What photos are allowed on a CA firm website?

Clause 3.3.9 of ICAI’s guidelines permits passport-style photos of people associated with the firm, plus a gallery of professional events the firm organised or where its partners delivered lectures. So partner profiles use a passport-style photo, and the rest of the site relies on typography and layout. Stock photos of handshakes or office parties stay out. The result looks calm and professional.

How long does it take to build a website for a CA practice?

An information site usually takes one to two weeks from approved content, and a client portal takes six to twelve weeks. Partner review of profiles and service wording is normally the slowest step. We suggest avoiding a launch in the fortnight before a major due date, when nobody at the practice has time to check pages or respond to new enquiries properly.

Is a WhatsApp button allowed on a CA website?

A WhatsApp button that stays in a corner until someone taps it is a contact option the visitor chooses, which we treat as pull. An auto-opening chat that greets visitors with a sales line behaves like push promotion, which ICAI does not allow for audit and attestation services. We install only the quiet version and let the partners decide on any borderline feature.

Should my CA website have a client document portal?

If you handle hundreds of returns a season and staff chase documents over email and WhatsApp, a portal with logins, folders by year and a pending list usually saves time from the first season. How are uploaded client documents kept secure?

Files go to private cloud storage in the practice’s own account, encrypted in transit and at rest, and are never emailed as attachments. Portal access is by role, so staff see only assigned clients and each client sees only their own folder. Every view and download is logged. Old files can be archived or deleted on a schedule the partners choose.

Does the DPDP Act apply to a CA firm website?

The Digital Personal Data Protection Act, 2023 covers digital personal data such as names, PAN and phone numbers that forms collect, and MeitY notified its Rules in November 2025 with a phased start. We build forms that collect only what is needed, show a clear purpose notice and store files securely. Legal compliance is the practice’s responsibility, so confirm the details with your own advisor.

Can a CA firm website rank on Google?

Yes. Informational content is what ICAI allows and what search engines reward. Fast pages, one page per service, well-structured articles, schema markup and a matching Google Business Profile give a practice a real chance. Nobody can guarantee a ranking. How do CA websites appear in ChatGPT or Google AI Overviews?
