What does a cloud hosting setup freelancer actually set up?
Think of a website as a shop. The domain is the address board, DNS is the map that tells people and email servers where to go, the server is the building, SSL is the lock on the door, and business email is the letterbox. A cloud hosting setup freelancer makes sure all five exist, belong to you and work together.
Most problems we are asked to fix come from one of these being configured by a different person at a different time with no notes: a domain bought by a nephew on his own email, DNS at one company, hosting at another, email records copied from a forum post. Everything works, until it does not.
- Registrar and domain renewal settings
- DNS records: A, AAAA, CNAME, MX, TXT, with a written list
- Server or cloud hosting account, sized and secured
- SSL certificates with automatic renewal
- Business email with authentication records
- Backups, monitoring and a handover sheet
In our team, another of us leads cloud and AWS work, one of us handles application deployment, and the third of us keeps the checklist and handover documents in order.
Shared, VPS, managed cloud or static hosting: which does your site need?
There is no single best hosting. There is the right hosting for what your site does. A cloud hosting setup freelancer should start by asking what runs on the site, not which provider has the best discount this month.
Static or CDN hosting
For brochure sites, landing pages and most SEO sites built with static generators. Very fast, very little to secure or update, and usually the lowest running cost. Our default for static builds.
Shared hosting
Many sites on one server with a control panel. Fine for a small WordPress site with modest traffic; limited control and noisy neighbours can slow you down.
VPS (virtual private server)
Your own slice of a server with root access. Good for custom apps, WordPress with heavier traffic, or several sites. You must manage security and updates, or have someone do it.
Managed cloud and platforms
Services such as AWS Lightsail, container platforms or managed app hosting. Less server work, more predictable scaling, sometimes a higher bill at the same size.
A rule of thumb: if your site does not need a database at request time, do not pay for a server that runs one. Our static website page explains why this suits most small business sites.
How to choose a cloud provider and server region for India
For visitors in India, host close to them. AWS has regions in Mumbai and Hyderabad, and other major clouds also run Indian regions. A server in India usually gives lower latency for Indian users than one in the US or Europe, which helps load times on mobile networks.
If most of your customers are abroad, host near them, or put a CDN in front so static files are served from many locations. For a site with both Indian and overseas visitors, a CDN in front of an Indian server is a common and sensible middle ground.
Other factors worth weighing: billing in rupees versus dollars, whether the provider accepts your payment method reliably, support quality, and how easy it is to leave. We work across providers and have no referral deal influencing the choice; the account is opened in your name either way.
- Where are most of your visitors?
- Does the site need a database or server-side code?
- How much traffic do you expect in the next year?
- Who will apply updates and security patches?
- Which billing currency and payment method suits your accounts team?
What a cloud hosting setup freelancer does to secure a new VPS
A fresh VPS is reachable from the whole internet within minutes of creation, and automated scanners start knocking almost immediately. The first hour of setup matters more than any later tweak.
Our baseline for a Linux VPS, usually Ubuntu LTS:
- Log in with SSH keys only; disable password and direct root login
- Create a non-root deploy user with limited sudo rights
- Enable a firewall that allows only SSH, HTTP and HTTPS
- Turn on automatic security updates
- Add brute-force protection such as fail2ban
- Run the web server (Nginx) and app under separate users
- Keep databases off the public internet
- Store secrets in environment files outside the web root
None of this is exotic, which is exactly why skipping it is so common. For sites that have already been compromised, see hacked website repair before moving them to a clean server.
Domains and DNS: the part that breaks email without warning
The domain must be registered in your name, with your email as the account owner and auto-renew switched on. We see too many businesses whose domain sits on a former employee’s personal account. Recovering it can take weeks.
DNS is where website and email meet. Changing name servers to point the website at new hosting can silently delete the MX records that deliver your email. A careful cloud hosting setup freelancer exports the existing zone before touching anything, rebuilds it at the new DNS provider, checks every record, and only then switches.
We also lower the TTL (time to live) a day ahead of a planned change, so the switch spreads across the internet quickly, then raise it again afterwards. And we hand you a plain table of every record, what it does and why it exists.
Does my website need SSL, and how is it set up?
Yes. Browsers mark pages without HTTPS as “not secure”, forms without it expose what visitors type, and Google treats HTTPS as a ranking signal. There is no good reason to run a business site without SSL today.
Certificates from Let’s Encrypt, or those issued automatically by many hosts and CDNs, are free and trusted by all major browsers. The important part is renewal: these certificates are short-lived by design, so renewal must be automatic. We configure it, test a dry-run renewal, and add an expiry alert as a safety net.
Finally, every HTTP address should redirect to its HTTPS version with a permanent redirect, and pages should not load images or scripts over plain HTTP, which causes mixed-content warnings. We check both before sign-off.
Business email on your domain: Google Workspace, Microsoft 365 or Zoho Mail?
An address like you@yourbusiness.in looks more credible than a free webmail address and stays with the business when staff change. Three services cover most needs in India: Google Workspace, Microsoft 365 and Zoho Mail. All three work well; the right one usually depends on which documents and calendar tools your team already uses.
Avoid running email on the same cheap server as your website. If the server is slow or blacklisted, both suffer, and your inbox depends on someone patching a mail server correctly.
Setup is more than creating mailboxes. Your cloud hosting setup freelancer should add MX records, an SPF record listing who may send for your domain, DKIM signing, and a DMARC policy, starting in monitoring mode and tightened once reports look clean. Large mailbox providers such as Gmail now expect authentication for bulk senders, and even small businesses see fewer spam-folder problems with all three in place.
If your website sends emails (contact forms, order confirmations), route them through a proper sending service authenticated on your domain, not a raw server script.
Backups and monitoring: what to set up before you need them
A backup you have never restored is a hope, not a backup. Our standard is simple: automated daily backups of files and databases, kept for a sensible period, stored somewhere other than the server itself, and one real test restore done during setup.
For a VPS on AWS, that often means scheduled snapshots plus database dumps copied to separate storage. For a static site, the Git repository is itself the backup of the code, and content lives in the CMS or repository too.
Monitoring closes the loop. We set up uptime checks every few minutes, SSL expiry warnings, and disk and memory alerts on servers, sent to an email or WhatsApp group you choose. You find out about problems before customers do, and if you have a care plan, so do we.
How much does a cloud hosting setup freelancer charge?
Separate the provider bills from the setup work. Provider costs (domain, server, email seats) are billed to you directly by each provider at their published prices. Quotes from freelancers for the setup work vary widely because the scope varies: one static site with two mailboxes is a different job from a VPS running three apps with a database migration.
With BtechWaleTech, hosting, DNS, SSL and email setup are part of every website build, starting with the static plan at ₹10,000 (US$150 for clients abroad), the SEO website plan at ₹20,000, or a store from ₹50,000. For an existing site needing only setup, clean-up or a move, you receive an itemised quote in about two working days and nothing is billed before your written approval.
After launch, the first two months of maintenance are free for sites we build. Beyond that, ongoing care starting from ₹8,000/mo covers updates, renewal checks, backups and small fixes. See pricing for all starting figures.
Ownership: why every hosting account must be in your name
If a freelancer opens the hosting or domain on their own account and bills you monthly, you are renting your own business from them. It may work for years, and then a card expires, a phone number changes, or the relationship ends, and your site and email disappear.
Our rule is fixed: registrar, DNS provider, cloud account and email service are all opened under your email and paid with your payment method. We are added as users with the access we need. Where a provider supports it, we use separate user accounts with limited permissions rather than sharing your main login, such as IAM users on AWS.
At handover you receive a document listing every account, who pays for it, when it renews, and every DNS record. Any competent developer can take over from there, which is how it should be.
Red flags when hiring someone for hosting setup
Most hosting disasters are visible early if you know where to look. Walk away, or at least ask hard questions, when you see these:
- The domain or hosting will be “managed for you” on the freelancer’s account
- No mention of email records when moving DNS
- Root password shared over chat, and password login left enabled
- “Backups are included” with no detail of where they are stored
- A strong push towards one host without explaining why
- Unlimited everything for a tiny monthly fee, with no word on limits
- No written list of accounts and records at the end
Good signs are the opposite: questions about your email before anything else, a plan for DNS timing, accounts in your name, and a handover sheet. See website security for deeper hardening.
India-specific points for hosting a business website
Hosting for Indian visitors has a few local wrinkles that a cloud hosting setup freelancer should plan around.
- Mobile networks: most visitors use phones on 4G or 5G with variable quality, so server location in India plus a CDN and light pages matter
- International card payments: some Indian cards need international transactions or e-mandates enabled for dollar-billed cloud providers; check before the first renewal fails
- GST invoices: if you need GST-compliant invoices for hosting bills, confirm the provider can issue them for your GSTIN
- .in domains: good for Indian audiences and local trust, with .com alongside if you sell abroad
- Personal data: forms collecting customer details should follow the Digital Personal Data Protection Act, 2023, so ask your lawyer about retention and consent
Failed auto-renewals from card mandates are one of the most common reasons we see Indian sites go offline. We add renewal dates to the handover sheet and to monitoring for this reason.
Moving to new cloud hosting without downtime
A careful move follows a fixed order. Copy the site and database to the new server, test it on a temporary address, lower DNS TTL a day before, freeze content changes during the switch, point DNS to the new server, confirm SSL issues correctly, then watch logs and email for a few days before cancelling the old host.
Email deserves its own plan. If you are changing email providers too, mailboxes must be migrated and MX records switched at a quiet time, with both systems checked for stray messages. Doing website and email moves on different days reduces risk.
Keep the old hosting running for at least a week after the switch. It costs a little more and gives you a fallback if something was missed. For a full walkthrough, including redirects when URLs change, see website migration.
Worked example: a clinic’s hosting and email tidied up
This is a hypothetical example to explain the approach, not a real client. A three-doctor clinic in a tier-2 city has a WordPress site on cheap shared hosting, bought by a former receptionist on her own email. Appointment emails from the site often land in spam, and the SSL expired last month.
A cloud hosting setup freelancer would first recover the domain into the clinic’s account through the registrar, then set up Google Workspace or Zoho Mail for the doctors and front desk, with MX, SPF, DKIM and DMARC records. The contact form would send through an authenticated service.
Next, the site moves to a small VPS or managed host in an Indian region, with SSH keys, firewall, automatic updates, free auto-renewing SSL and daily off-server backups. The clinic receives a one-page handover sheet with every account and renewal date. If the clinic later wants a faster rebuild, a static site from ₹10,000 would remove most of the server upkeep entirely.
Hosting setup karwana hai? Simple Hinglish mein samjhiye
Domain aapka address hai, hosting aapki dukaan, SSL taala, aur business email aapka letterbox. Ye sab aapke naam aur aapke account par hone chahiye, kisi freelancer ya purane employee ke naam par nahi.
Humari team server setup, DNS, SSL aur Google Workspace ya Zoho Mail ka setup karti hai, SPF, DKIM, DMARC ke saath, taaki aapki emails spam mein na jaayein. Hosting aur domain ka bill aap seedha provider ko dete ho, hum koi markup nahi lete. Nayi website ke saath setup included hai; sirf setup ke liye 2 working days mein itemised quote milta hai.
