What is Instagram DM automation?
Instagram DM automation is software that reads incoming Instagram messages and comments through Meta’s API and replies, tags or routes them without a person typing each answer. Done well, it answers repeat questions in seconds and gets serious buyers to a human faster.
The volume problem is familiar to anyone selling on Instagram in India. A reel does well, three hundred people comment “price?”, fifty send a DM, and by the time someone replies the next morning most have moved on. Staff copy-paste the same answer dozens of times and still miss messages sitting in the Requests folder.
Automation handles the predictable part: the price range, the size chart, delivery cities, the catalogue link. It asks the qualifying questions a salesperson would ask. Then it sends the lead where your team actually sells, usually WhatsApp for Indian buyers, or a CRM for B2B and higher-value products.

Mass cold DMs to strangers, auto-following, fake engagement or any tool that asks for your Instagram password. Those break Meta’s rules and put the account at risk.
Is Instagram DM automation allowed by Meta?
Yes, when it uses Meta’s official Instagram messaging API on a professional (business or creator) account and follows the messaging rules. What Meta does not allow is automation that logs in with your password, scrapes the app, or messages people who never contacted you.
Meta’s Instagram Platform documentation sets out the basics. Your app needs an Instagram professional account and permissions such as instagram_business_basic and instagram_business_manage_messages. It can only message a person after that person has messaged your account, and it then has 24 hours to respond. Apps that serve Instagram accounts the developer does not own need Advanced Access, which involves Meta’s app review.
That review is why we set up the Meta app in your own developer account and business portfolio. You own the app, the permissions and the tokens, and you can remove our access at any time. It also means your Instagram DM automation keeps working if you change developers.
When someone comments on your post or reel, your app can send them one private reply as a DM. Meta’s private replies documentation says only one message can be sent per comment, and it must be sent within 7 days of the comment; for Instagram Live it must be sent during the broadcast.
The flow: your webhook receives the new comment, the rule engine checks for a keyword such as PRICE, LINK, SIZE or DETAILS (in any case, with common misspellings), and sends one private reply. That first message has to do real work because you cannot send another until the person responds. Once they reply, a normal conversation opens with its own 24-hour window, and the follow-ups can begin.
Meta’s documentation lists posts, reels, stories, Live broadcasts and ad posts among the content where private replies apply, and the comment permissions (instagram_business_manage_comments with Instagram Login) are separate from messaging permissions. We usually also post a short public reply to the comment, like “Sent you the details in DM”, so other viewers know to check their messages.

Setting up Instagram DM auto-replies that do not feel robotic
Answer the first message within seconds, keep each reply short, offer two or three clear next steps, and let the person reach a human whenever they ask. That is the whole recipe, and most bad automation breaks at least one part of it.
We build replies as small decision trees with free-text understanding on top. A first DM saying “hi” gets a friendly greeting with options like “See prices”, “Delivery to my city” or “Talk to the team”. A message that already asks a question skips the menu and answers it. Anything the bot cannot handle confidently goes to a person with the whole context attached.
Meta’s messaging API supports text (up to 1,000 bytes per message according to its documentation), images, audio, video, PDFs, stickers, reactions and your own published posts. That means a reply can include the size chart image or a reel of the product in use, which often answers the question better than words.
Tone matters in India. Many followers write in Hinglish, a few in Hindi script, and replies that match their style get more responses. We write reply templates with you in the voice of your brand and review them before launch.
AI replies to product questions: how to keep them accurate
Use AI only over your own approved data, such as the catalogue, price list, size chart, delivery areas and policies, and make it hand off whenever the answer is not in that data. An AI that guesses a price or a delivery date creates problems faster than it solves them.
Technically this is retrieval-augmented generation. Your product and FAQ data are indexed; when a DM arrives, the most relevant snippets are fetched and a language model writes a short answer using only those snippets. If nothing relevant is found, it says a team member will reply and flags the chat. Stock and price come from a live feed or a sheet you update, not from what the model remembers.
We add guard rails that suit Indian retail: no promising delivery dates the courier cannot keep, no discount codes unless they come from your list, no medical or legal claims for health and beauty products, and a polite refusal for off-topic or abusive messages. Which lead-capture fields should an Instagram DM ask for?
Ask for the minimum your sales team needs to act: usually name, phone number and one or two qualifying answers such as city and product interest. Every extra question loses people.
The right fields depend on what you sell. A boutique needs size and delivery pin code. A real estate developer needs budget band, preferred location and whether the buyer wants a site visit. A coaching institute needs the course, class and the parent’s number. A salon needs service and preferred day.
Validation saves your team time later. Phone numbers are checked for ten digits (or a valid international format), pin codes against a list of serviceable areas, and budgets offered as buttons rather than free text. When a follower refuses to share a phone number, the flow still continues; the lead is saved with their Instagram handle and the conversation stays open for a human.
Retail and fashion
Name, size, pin code, product seen (captured automatically from the post).
Services and clinics
Name, phone, service needed, preferred day or time slot.
Real estate and education
Name, phone, budget or course, location or class, consent to a call or WhatsApp.
Pushing Instagram DM leads to WhatsApp
Send the lead a WhatsApp click-to-chat link with a pre-filled message that names the product and post, so when they tap it the chat opens on your WhatsApp Business number with context your team can see.
This works well for Indian buyers, who often prefer to finish a purchase on WhatsApp where they can share screenshots, ask for more photos and pay by UPI. Because the customer sends the first WhatsApp message, a customer service window opens and your team can reply freely. Meta’s WhatsApp pricing page notes that service conversations are free and that messages stay free for 72 hours when a chat starts from a click-to-WhatsApp ad or a Page call-to-action button.
If you have the phone number and the person opted in, the automation can also send a WhatsApp template straight away, for example a catalogue link or a booking confirmation. That uses the WhatsApp Business Platform and approved templates, billed by Meta per delivery. Sending Instagram DM leads to a CRM or Google Sheet
Create or update a lead in your CRM the moment the DM flow has a phone number or a clear intent, tagged with the source post, keyword and campaign. That is what lets you see which reels actually bring buyers.
We connect to Zoho CRM, HubSpot, Salesforce and other CRMs through their APIs, or to your own system. For smaller teams a Google Sheet works well, with one row per lead and a status column the team updates. De-duplication is by phone number where available and by Instagram user ID otherwise, so a follower who comments on three reels does not become three leads.
The CRM record should hold a link back to the Instagram conversation and a short summary of what the person asked. Salespeople then open the lead already knowing the size, budget or course. Meta’s policy limits for Instagram DM automation, including the 24-hour window
The main rules: you can only message people who contacted you first, you have 24 hours after their last message to reply, comment-based private replies are limited to one per comment within 7 days, and group chats are not supported. Build every flow around those rules rather than trying to work around them.
Meta’s documentation adds several practical details. Messages from people who do not follow you land in the Requests folder rather than Primary. An Instagram professional account can converse with only one customer per conversation. Messages count as read only after you reply through the API. Meta also provides a way for human agents to take longer to respond through tagging, which your team should use only for genuine human replies, not automated follow-ups.
Things that are simply off-limits: sending DMs to people who have not messaged you, buying lists of Instagram handles, and tools that ask for your password. If a vendor’s Instagram DM automation promises outreach to “any follower of your competitor”, it is not using the official API.
Choose a subscription tool if you want to start this week, your flows are simple and a monthly fee is fine. Choose a custom build if leads must land in your own CRM or WhatsApp setup with your own logic, if you need AI grounded in a big catalogue, or if the subscription is growing faster than the value.
Well-known DM tools are good at quick comment-to-DM campaigns and have friendly editors. Their limits show up around integrations (only certain CRMs, often through a third connector), data (contacts live in the vendor’s database), pricing (usually tied to contact counts that climb every campaign), and AI (generic models with limited control over sources).
A custom Instagram DM automation build has a higher first cost and needs someone to maintain it, but you own the logic and data and there is no per-contact fee. How a custom Instagram DM automation is built
A custom build has four parts: a Meta app with the right permissions, a webhook server that receives messages and comments, a rule and AI engine that decides the reply, and connectors that send leads onward.
We create the Meta app in your developer account, connect your Instagram professional account with Instagram Login, and request the permissions for messaging and comments. The webhook server, usually Node.js or Python on your cloud account, verifies each event’s signature, stores it, and responds quickly. The engine checks keyword rules first, then conversation state (which question we are waiting on), then AI for free-text questions.
Connectors call your CRM API, write to a sheet, send email alerts and generate WhatsApp links or templates. An admin screen lets your team edit keywords, reply texts and hand-off rules without a developer. Everything is logged so you can see what the bot said and why. For larger inbox needs this can grow into a custom web app.
How long does it take to set up Instagram DM automation?
A custom setup typically takes two to four weeks. Building the flows takes about half that; Meta app review, testing with real followers and tuning AI answers take the rest.
Week one: agree flows and keywords, collect catalogue and FAQ data, create the Meta app and connect the account. Week two: webhook server, comment-to-DM rules, DM replies and lead capture. Week three: AI answers, CRM or WhatsApp hand-off and admin screen, with app review running in parallel. Week four, if needed: pilot on one or two posts, fix edge cases and train your team.
You can speed it up by having admin access to the Instagram professional account and Meta business portfolio ready, and by sending your product sheet and top twenty questions from real DMs before kickoff.
What to measure after launching Instagram DM automation
Track speed to first reply, how many conversations reach a phone number or WhatsApp hand-off, and how many of those turn into sales. Likes and follower counts are not the point here.
The automation logs every step, so you can see, per post and keyword: comments received, private replies sent, replies from users (which opens the conversation), leads captured, hand-offs to WhatsApp or CRM, and, if your CRM records it, orders or bookings. AI answers get a separate view showing which questions went unanswered, which tells you what to add to the knowledge base.
Review weekly for the first month. Common fixes: a first private reply that asks too much, a keyword people misspell, a missing delivery area in the data, or a hand-off that happens too late. Worked example: a hypothetical saree boutique in Jaipur
Say a saree boutique in Jaipur posts reels of new arrivals and gets hundreds of “price?” comments on the popular ones. Two staff answer DMs between customers in the shop, and buyers who ask at night hear back the next afternoon. This is an illustrative scenario, not a real client.
We would set one keyword per reel, say “PRICE”, mentioned in the caption. A comment with that word triggers a private reply with the price range, fabric and a question: “Want photos in other colours or delivery details?” When the person replies, the conversation opens and the bot shares a short video, asks for the pin code and checks delivery. For questions about blouse stitching or fall and pico, AI answers from the boutique’s own policy notes.
Once a buyer shows intent, the bot sends a WhatsApp link pre-filled with “Hi, I saw the maroon Banarasi reel, code BN-114”, and saves a lead in a Google Sheet with post, product code and pin code. Staff pick up on WhatsApp, share more photos and take UPI payment. After two weeks the sheet shows which reels produce buyers, not just comments, and the boutique decides what to post next.
